Transitioning from free to standard licensing

Paul Reed June 25, 2024

We are currently utilising the 3 user free tier of Jira Service management as we have one person managing everything in Jira. I am now putting together a plan to migration to Standard and a 20 to 30 user model.  I will probably create 3 teams within that 20 to 30 people.

Is there anything that I need to be aware of around extra licensing, historical data, etc? I realise there is a cost but anything technical I should be wary of?

Is there a standard transition process at all?

Hi @Paul Reed welcome to the community!  Nope, everything should just keep working once you switch the license over to Standard.  I did that when I started out and the transition was seamless.

That's the advantage of being in the cloud.  You can switch to the Std license at your own pace.

Hey @Paul Reed !
Exactly what Dan said! ;)
Nothing technical to worry about, just choose which type of payment (monthly or yearly) and which plan you want and you're done. If you have any questions regarding that I'm here!

Digging into our licensing arrangement we apparently have 10 x Work Management and 10 x Software plus the 3 Service Management plus a PowerBI connector of some sort. We are apparently paying some sort of grandfather agreement and I am told that if we extend out Service Management past 10 users then we will have to relicense everything at a higher rate. How do I get some certainty on what licences we need and what the final costings will be across everything?

Hey Paul!

Sorry for the late response,
answering to your question, you can have a license for Jira Service Management and Jira flexibly and independently from each other on the same site, meaning that JSM can have 10 agents and JSW 100 users. But there's also the following restrictions:

  • if one product on the site is in yearly plan, every product and app is paid yearly as well
  • the biggest product license for jira (jsm vs. jsw) defined the user tier for the installed app
  • upgrading the biggest product also means you have to upgrade all apps to the same tier

I hope you find this helpful!

Best

Sorry but that isn't totally clear to me. I can have 10 of one product and 100 of another but have to have to upgrade all apps to the same tier?

Is there someone at Atlassian I can go to for a quote as it sounds like I am not just up for the cost of the Jira SM but also upgrades to SW and WM and the PowerBI connector.

Exactly, but as far as apps are concerned it works as follows:

If you have an app that is exclusive to a product, then you will have to upgrade it accordingly for product users.

If an app is intended for different products at the same time (jsm + jsw) then the upgrade will be applied taking into account the product that you have at the highest level (this info you can check at the Atlassian marketplace, checking the exact app you have)

Also, if you need more specific info and quotation, you can always go for an Atlassian partner and will be much more accurate studying your case
