Jira no mails when people are added to project

Stefan Speck November 7, 2023

Hello dear community,

I have the following problem: when I want to add people from our organization to a project under project settings and then people, it often happens that the invited people do not receive an invitation email. They are listed in the people list after being added, but have never received an email. Sometimes invited persons receive an e-mail and sometimes they do not. What is the reason for this?

Best regards,
Stefan

HI @Stefan Speck

So theses user your are adding to a role under the project, are they already in the Atlassian instance? Do they have access to other projects or Jira Software?

If the user has access to your Jira Cloud instance (xyz.atlassian.net/jira) then adding them to a new project will not invoke an email being dispatched to notify them of this event.

Only non exiting users will receive the invite.

I would recommend you do two things.

First, have your site-admin go to user management and confirm that the user in question does indeed have an account and appropriate Jira license.

  • If the user has already logged in, Jira will tell your site-admin the last time they logged in.
  • If the user has NOT logged in ever, you will have the opportunity to click on "Resend Invite."

Second, in the project settings, go to People and make sure the user is in the project with an appropriate role that grants "Browse" permission.

Keep in mind, the first step (enabling account/license) needs to happen first otherwise, even if you add the user to your project, they will not be able to see the project since they do not have a license.

If this is still not giving you the answer, please raise a request at Atlassian Support.

They can see email logs on your instance

Hi @Stefan Speck

If I understood you correctly, you are trying to grant jira access to users via People section, to the best of my knowledge that wont work, you need to invite users first from User Management of admin site first. Then you can grant them access to the project. So although the users are listed in your project people section, they dont really have access to your atlassian site.

Hi @Stefan Speck To which role are they added?

There's a difference between notifications (for agents) and customer notifications (for customers)

Please check out the following documentation article: What notifications do my customers and team receive?

Hi @Dave Mathijs

The persons have the role of the agent. So not the customer.

The documentation does not help me.
