I have recently joined a startup and it already has a QMS in place, already ISO 13584 certified. Now, they are asking me to automate most of the processes. The current QMS is on SharePoint and everything is based on Word or Excel Documents. In the current status, the connection between processes is completely manual and it's often painful: copy and paste of documents to create new versions or copy and paste of info from one document to another one.
Since we are already using Jira for Software Development, I was thinking about integrating some processes in Jira, starting from CAPA and Complaint Handling.
My current idea is:
- Jira Software Management for Complaint handling and feedback
- Jira project (probably in Jira Software Management) for the CAPA process with customized CAPA issues. Here, I am not sure which kind of project is the best one.
I have a few questions:
1) Is it better to create customized fields for the issue or forms at each status? E.g. for CAPA I've created a workflow with different statuses (root cause analysis, implementation, V&V...) and at every status I want to be sure to modify specific fields or create actions before moving to the next step
2) How to set up approvals at each status easily? Which kind of project is the best one?
3) Which e-signature plug-in do you suggest?
4) Which "export report" plug-in do you suggest? Once a CAPA is closed, we are also thinking of generating a report, sign it and save it on Sharepoint with the rest of the QMS
