How to hide Request Types from the portal, but let people with the direct URL link submit a request?

Hi,

We have some Request Types that we don't want to be shown in the portal, but we want people to be able to submit a request using the portal request form. (if they have the link)

Currently,

  • if I hide a Request Type from the portal I can't submit a request
    • Error: Couldn't send request - The request type you are trying to view does not exist.error.png
  • and if I add it to a Portal Group it's available to anyone browsing the portal in general.portal.png

 

Is it possible to:

  1. Change the permissions so one can submit requests if one has the direct URL to the form even if the Request Type is hidden?
  2. Block certain portal groups somehow, but leave the request types behind it submittable?
  3. Use a request type as a form in any other way via Confluence?
  4. Or any other solution suggestion?

Short answer is no, you cannot hide request types and make them available for a subset of users. The only workaround would be to use Forms, it has a URL that you can share. But this only works if your users have access to your instance, it doesn't work for JSM portal users only. There is a suggestion to have this functionality, see JSDCLOUD-195, that I would recommend that you go and vote for and follow.

Thank you @Mikael Sandberg I already found that functionality suggestion and voted for it.

Can you be more specific on "The only workaround would be to use Forms, it has a URL that you can share." it sounds like I might be forced to use this workaround.

JSM now has Forms (formerly ProForma Forms) which allows you to set up a dynamic form that has its own URL. But in order to access it users have to have access to your instance. You can learn more about Forms here.
