How to automate to add a custom field with parent option

Gunasundri Subramaniam August 24, 2024

I want to automate to add the custom fields in the tickets created in JSM.

Example: I hava a custom field as “ Categories” and a parent option “Infrastructure Issues” and the Value “Container Registry”

Kindly advise how to add these values in my JSM ticket.

Hello @Gunasundri Subramaniam

If the custom field isn't appearing in the list, here’s what you can do:

  1. Check Field Configuration:

    • Go to Project Settings > Fields.
    • Make sure the “Categories” field is added to the appropriate screen (e.g., the Create Issue screen).
    • Ensure that the field is not hidden in the field configuration.
  2. Add the Field Manually:

    • In the issue view, click on Configure Fields (usually found under the "More" option).
    • Look for the “Categories” field and ensure it is checked to be visible.
    • If the field still doesn’t appear, it might not be properly associated with the screen, and you’ll need to add it via Screens in the project settings.
  3. Verify Field Context:

    • Go to Issues > Custom Fields in the Jira administration.
    • Find the “Categories” field and check its context to ensure it's available for the correct project and issue type.
  4. Update the Automation Rule:

    • Once the field is available, go back to the automation rule and update it to set the value for “Categories” as you originally planned.

If you’re still facing issues, let me know, and we can look into it further.

Thanks,

Hello @Gunasundri Subramaniam

To automate adding custom fields like “Categories” with specific values in JSM tickets, you can follow these steps:

  1. Set Up the Custom Field: Ensure that the “Categories” custom field with the parent option “Infrastructure Issues” and value “Container Registry” is already created and configured in your Jira instance.

  2. Create an Automation Rule:

    • Go to Project Settings in your JSM project.
    • Navigate to Automation and click on Create Rule.
    • Choose a trigger, such as When: Issue Created.
    • Add a New Action: Choose Edit Issue Fields.
    • Select the “Categories” field, then set the value to “Infrastructure Issues > Container Registry”.
    • Save and enable the rule.
  3. Test the Automation: Create a new ticket in JSM and verify that the “Categories” field is automatically populated with the specified values.

This automation will ensure that every time a ticket is created, the custom field is automatically set with your desired values.

Thanks,
Shreeja J
