How can i change the Workflow status in free version?

Sai Krishna July 9, 2024

Hi Team, i am trying to change the workflow status in Service Management free version. so i do not see the Edit fields in the workflows under Project settings - > Request types. So do we have the feature available or not.

Also, can we restrict some of the fields to manage by only Project Manager or CTO/CEO of the company.

Hello @Sai Krishna

Welcome to the Atlassian community.

Are you using a Company Managed Service Management project or a Team Managed Service Management project?

If the project is Company Managed the workflow can be managed only by Jira Administrators.

If the project is Team Managed then the workflow can be managed by Project Administrators for that project.

When you say you want to restrict the fields to be managed by specific users, do you mean that you don't want other users to be able to edit those fields in individual issues? Or do you mean you want the selected people to be able to manage what values can be selected in those fields?

@Trudy Claspill Thank you for responding to my question. So i am using the Free version not Company Managed or Team Managed. My role is Administrator.

When i say i want to restrict fields to be managed by administrator or other role. they should be only modify the fields and no one else. it should be greyed out for other members who're accessing the JIRA.

Hello @Sai Krishna

"Free" applies to your product plan subscription. The subscription can be Free or you can be using a paid subscription.

Company Managed or Team Managed apply to the Projects you create within Jira. To determine if your Project is Company Managed or Team Managed go to the Project menu, select the View All Projects page, and find your project in the list. Look at the value in the Type column. If it says "Team-managed" there then the project is Team Managed. If it does not then it is Company Managed.

However, the ability to control who can edit individual fields based on the users Role is not a feature that is available with native Jira functionality. I'm not sure if there is a third party app available that would support that. If there is, would you be willing to consider acquiring it?

It should also be noted that in the Free plan you cannot customize the project roles of licensed users. You cannot assign Project Roles to the users in the projects. You can only assign then Product level access. Once within the product they will have all permissions in the projects that fall within their Product level access.

Some specific field editing can be controlled through the Permission for the project, such as the Assign User permissions which determines if a person can edit the Assignee field.  But on the Free plan you do not have the option to customize the Permissions, either. All licensed users have all permissions in all projects.
