Help regarding Workflow

I have a problem and don't know how to handle such a workflow right.

OK, in my company we have several approval decision before a product gets published.

Every products has normally the same workflow like in the picture. But sometimes we skip for example US APPROVAL but dont want to skip LEGAL APPROVAL. Is it somehow possible to adjust this so that we can decide which approval we need.

Hi Leon - Welcome to the Atlassian Community!

We use a custom checklist field that includes optional approval steps. We default the field with all values checked. If a value is unchecked the step becomes optional. Then we update the Conditions going to those steps to check for the value of the custom checklist field.

Currently you try to solve the complexity in the workflow only. This is possible, but as you can see it bloats the workflow. There are some possibilities to tackle this differently.

 

  • Automation - You can have some of your workflow steps skipped by an automation rule. This is normally done if you build it like this:
    • Trigger is a status is reached ( in this example "Approval Decision"
    • IF condition is on whichever is the reason for your skip
    • action is to transition the issue to the needed approval
    • this also would allow you to branch inside the workflow to totally separated "runlines" for better readability
  • Splitting the different scenarios in different issue types which allows you to use different workflows
    • Important prerequisite condition for this way is of course, that the decision which approvals you need is clear from the start and is not decided spontaneously in between
