Editing an existing Request type/form to add a new item

I am currently using a request type that is hidden from the portal but visible only to the agents to create change requests. There is a section in the request form that needs to be updated with a new service. As a project admin i am not able to add the new service to the existing list of services drop down. One point here is that i am not using an attached form but trying to edit a native form. My query is whether as a project admin will i be able to add new service to the existing drop down list.  If so let me know how to add to the list.

Hi @Ananda_ Sampath Kumar

In Jira Cloud, the ability to update a dropdown list in a request form depends on the project type and the permissions you have:

  1. For Company-Managed Projects:

    • The dropdown options are managed via custom field configurations.
    • Navigate to Settings > Issues > Custom Fields.
    • Search for the specific custom field used in your request type form.
    • Select Contexts and default value, then edit the list of values. Note that changes may affect multiple projects if the field is shared.
  2. For Team-Managed Projects:

    • You can directly edit field options from the Project Settings > Issue Types page.
    • Locate the issue type associated with your request form and update the dropdown options there.

Since you're working with a native form and are a project admin, it’s crucial to check whether you have the necessary permissions to edit custom fields, especially in Company-Managed projects, as this typically requires Jira Administrator access.

I am currently working on a company managed Jira SM project. If i go to the specific  field that needs customization, i can see the following option.

"Use preset value and hide from portal". If i click on the option, the drop down list expands but there is no provision to add new items to the list. If i hover my cursor over the dimmed add option message, i can see the message as  "You can't add an option".

I checked with the Jira sire admin, but even he was not able to add. I guess it is mapped ? in such a case how will a jira admin check the mapping .

It seems the issue you're facing with adding new items to the dropdown in a company-managed Jira Service Management project is likely due to field configuration restrictions. The option "You can't add an option" typically indicates that the field you're working with is either a system field or a custom field with a fixed set of values, possibly tied to a global context or mapped to other configurations.

To resolve this, reach out to your product admins, the Jira admin would need to:

  1. Check the Custom Field Configuration: Navigate to Jira Settings > Issues > Custom Fields, and review the field's Context settings. The admin can adjust the field's context to allow changes for your specific project.
  2. Field Configuration Scheme: The field might be locked through the field configuration, meaning its values are global. The admin should check the Field Configuration Scheme to ensure it allows editing for your project.
  3. Field Type Considerations: If it's a system field, the dropdown values might not be directly editable.

@Utkarsh Agarwal
I can see that the field is a system field. Let me check on the field configuration scheme with the Jira admin.

Hi @Ananda_ Sampath Kumar

In the form, If the field is mapped with a custom field then you can not modify its value in that case you have to contact with your jira admins and they will add it. but if it is not mapped with any custom fields then you can add the new value within the form.

Can you ask with jira admin what type of field is it?

Is it a system field or custom field?

Is it a locked field? If yes then admin also can not add the new values.

I can see that it is a system field. But not sure whether it is locked as the services in the drop down are local to our project only. I guess the locked field option can be checked only by a Jira admin?
