Automatically Update Issue Status Based on Checklist Progress

I am trying to nest the statuses so that within each status I can show progress. My workaround for this was to create a checklist that matches my statuses so they can have their own workflow to show In Progress and Done. My question is, is there a way to automatically update the issue status based off checklist progress? For example when the Business Analysis checklist item gets to the "Done" state and the checkbox is checked, it would then automatically update the issue status from Business Analysis to Technical Analysis (which is both the next checklist item as well as the next status in the issue workflow).

Side note: This is just a dummy project so I don't have transitions set yet.

Not sure if this is possible but would be super helpful if anyone has done anything similar. Thanks in advance!

Hi @Kristen_Norfleet

Welcome to the community!

My name is Gracjan, and I'm a Customer Success Expert at HeroCoders, the team behind Issue Checklist app.

You should be able to achieve that with automation, please find an example below:

The automation triggers whenever there is a change in the Checklist Text field, reviews if the Business Analysis is done, and also checks if the status of the ticket is Business Analysis to avoid triggering this automation in other stages of the workflow.

I don't have the same workflow as you, so replace my "Review" in condition to "Business Analysis", and action transition to the one you want to use after Business Analysis.

Let me know if that's clear.

In case you have any other questions related to our app, you can contact us directly through our Help Center here.

Cheers!

Gracjan

Hi Gracjan,

Thank you so much for your suggestion! I appreciate the help. I wanted to send a screenshot of my automation steps for your review. I followed the flow that you have set here with the status's that I'm using and I still haven't been able to get the status of the story to transition from Business Analysis to Technical Analysis when the checklist item is moved to "Done" and that checkbox is then checked, but I think I'm just missing something.

@Kristen_Norfleet

Welcome to the community.  Since your "Checklist" is a custom field, you can create an automation rule for the project where when this field value changed, the rule can transition the issue's WF status that you needed.

NOTE - Since the "Checklist" data format custom field can allow one or more multiple values to be selected, so in your when you check for the field value of the field, you will need to use "contains" check.  Otherwise it may not work as you intended.

Here are a few reference links on automation rules for you to take a look -

https://support.atlassian.com/cloud-automation/docs/jira-smart-values-issues/  (this link provides guidance on to conduct advance rule configuration by using "smart values".

Hope this helps.
