Hi- I am in charge of procurement for an import company. Currently the buying team sends me their requests for quotes in email in which i then email to different vendors for quotation. Upon receipt of the quote, i review, negotiate and then send back to the buying team for review. Was wondering if i could create a central board for all quotations to be submitted and then send out to various vendors for quotation while having their replies connect back to the central board. The trick is that I wouldn’t want the vendors to have access to the other vendors quote. So they would have to be “synced” to the central board, but not visible to each other. Is this possible in Trello?

To be honest, I would look into the "Email in Trello" powerup, which would allow you to communicate via email and vice versa. I believe you would need 2 cards though something like what I attached.

I'm not an expert but this looks like it would work for your needs.RFQ-Process-via-Email-in-Trello.png

@Jack Safdeye

The general rule to keep in mind in using Trello is that all members on a board will have access to the cards and there is currently no intra-board access control for members that you can put in place to prevent access to data in the cards. Typically you keep that outside the central board or outside of Trello all together. There are some tools for sync, external share …. Etc you can put in place for such a requirement.

In working with external parties, it is also important to consider their willingness to adapt to your company’s unique processes. In most cases, email is the way to handle the back and forward exchange of information with external parties.
