Hi @Bafodé , for a two-person agency with everything scattered across Outlook, Excel, WhatsApp and notes, Trello is a sensible pick for the tasks-and-follow-up part of that, which is exactly where it shines: small teams, near-zero learning curve, and a Free plan that is plenty at your size. The thing to be clear on is what it centralizes and what it doesn't.

  • Why small teams choose it over Asana or Monday: the board is understood in minutes with no training, and Free covers two people comfortably. It wins on simplicity for light workflows and loses once you need portfolio views or heavy reporting.
  • The real day-to-day benefit is one shared place for who does what and by when; card comments replace a chunk of the WhatsApp and email back-and-forth, and you both see status without having to ask.
  • The biggest time-saver is Butler, Trello's built-in automation: due-date reminders, recurring cards for repeating work like renewals and viewings, and rules that move or label cards for you. Setup is in creating and managing Butler commands.
  • The common rollout mistake is dumping everything into one giant board with no agreed convention; adoption sticks when the two of you settle on a simple list structure and actually use cards instead of slipping back to WhatsApp. A short trial and shared guidelines, as you noted, are what make it hold.
  • Its limit: Trello is task management, not a CRM or a document store. Contracts, accounting in Excel and client history shouldn't live there; if you later need a client pipeline or reporting, that is where Notion, Asana or a real-estate CRM fit better.

So for your specific case, recommending Trello to centralize tasks and internal organization is appropriate for two people, as long as you frame it as the task and follow-up hub and leave documents and records where they already work. Agencies of this size typically run it for listing follow-ups, viewings and post-sale tasks.
