I'm finding it challenging to keep track of issue statuses across multiple projects in Jira.

Every time I need an update, I find myself jumping between different boards and filters, which is frustrating and time-consuming.

I need a centralized way to see what’s going on across all projects without manually checking everything.

Do I need a plugin or some sort?

Does Jira do this for me?

A few years ago my team was in that situation, and honestly, trying to track everything manually is exhausting.

What really helped me was setting up a custom Jira dashboard that pulls in issue statuses from multiple projects in one view.

Instead of clicking around different boards, I now get a snapshot of everything that matters the moment I log in.

I find that whe trick is to use filters and gadgets. I usually create a JQL filter that grabs all the issues I care about and then add it to my dashboard using gadgets.

If you want even more automation, you can set up email alerts or Slack notifications when critical issues change status.

Since I started using this approach, I spend way less time digging for updates and more time actually solving problems.

1. Dashboards

  • Custom Dashboards: You can create a custom dashboard that aggregates information from multiple projects. Use gadgets like "Filter Results," "Issue Statistics," or "Two-Dimensional Filter Statistics" to display issues based on your criteria. 
  • Shared Dashboards: If you work in a team, you can share your dashboard with team members to keep everyone updated.

2. Filters

  • JQL (Jira Query Language): Create filters using JQL to pull issues from multiple projects. For example, you can create a filter like project in (PROJ1, PROJ2) AND status != Closed to see all open issues across specified projects.
  • Saved Filters: Save your JQL queries as filters for quick access. You can also subscribe to these filters to receive email updates.

3. Boards

  • Cross-Project Boards: If you are using Jira Software, you can create a Kanban or Scrum board that pulls issues from multiple projects. This allows you to visualize the workflow across projects in one place.

4. Roadmaps

  • Plans: If you have access to Jira Premium, you can use Advanced Roadmaps to create a visual representation of work across multiple teams and projects. This feature allows you to plan and track progress in a centralized view. 

5. Automation

  • Automation Rules: Set up automation rules to notify you of changes in issue statuses across projects. For example, you can create a rule that sends you an email , Slack notification or something else when an issue is updated.

6. Plugins and Add-ons

  • If the built-in features do not meet your needs, consider exploring the Atlassian Marketplace for plugins that enhance reporting and visualization capabilities. Some popular options include:
    • BigPicture: For advanced project management and visualization.
    • Structure: For organizing issues in a hierarchical view across projects.
    • EazyBI Reports and Charts: For advanced reporting and analytics.

Conclusion

I think you can effectively use Jira's built-in features like dashboards, filters, and boards and there combination . using confluence can give you also a good overview over jira, with the jira macros.   However, if you find that these features are insufficient for your needs, exploring plugins could provide additional functionality.

@doishy I would check out Plans (premium and enterprise plan of Jira). With this you can create roadmaps across any number of boards and projects, visualise all dependencies on a dependency map and create cross-project releases.

This may be slightly heavy-handed depending on your situation and budget, however if you're looking at many projects across a program this is extremely useful functionality to keep track of everything at a higher level

Issue Hierarchy 

The app also allows you to view your project issue hierarchy in a tree view. You can view %complete progress at each parent level. It roll ups the time tracking fields, story point or numeric fields at each parent level.

welcome to the community!

If you're open to solutions from the Atlassian Marketplace, you may want to have a look at the app that my team and I are working on: JXL for Jira.

JXL is a full-fledged spreadsheet/table view for your issues that allows viewing, inline-editing, sorting, and filtering by all your issue fields, much like you’d do in e.g. Excel or Google Sheets. It also comes with a long list of advanced features, including support for (configurable) issue hierarchies, issue grouping by any issue field(s), sum-ups, or conditional formatting.

With these, you could build an overview report like e.g. this in just a couple of clicks:

This is really just one of a virtually endless number of possible views and reports; you can also view and group by any other issue fields, configure different sum-up styles, etc. etc.

As every sheet in JXL is controlled by a JQL query or saved filter, you have full control over which issues should be included in your report.
