creating a Change management notification email

jace.jones@envestnet.com July 25, 2022

I am trying to create an automation to send an email to group when a change ticket is entered.

Here is the automation as I have it now:

This is the result in the email:

Change email.png

So excluding affected services (may not use that field).

I cannot get the planned start & end dates to populate.

The change approver comes as the number and not the name.

Any help is appreciated.

For approver try - {{approver.displayname}}.  By default it always returns the account ID.

See more information on user related fields with smartvalue - https://support.atlassian.com/cloud-automation/docs/jira-smart-values-users/

For your missing Date fields value, they seems to be formatted correctly.

See more information on date related fields with smartvalue - https://support.atlassian.com/cloud-automation/docs/jira-smart-values-date-and-time/

Can you confirmed if the issue (ticket) in question that those two date fields are populated or not?.

Hi Joseph,

Thanks for the tip on the name that worked.  I also checked the date again to ensure it was entered and realized I was pulled planned start, which I am no longer using. I changed it to start date with the lines below and had mixed results.

here is the updated automation:

And the new results:

Change email.png

I get the start date, but no the end date using the same format.

Also location is a custom field named change location with a pick list and I am not getting any results.

For the location field, can your try something like - {{customfield_xxxxx.value}}, where the xxxxx is your custom field's internal ID.

Regarding to end date field, is the field populated?

Here is a great reference for finding values against fields - https://support.atlassian.com/cloud-automation/docs/find-the-smart-value-for-a-field/

Best, Joseph
