Hi,
I have the request to assign workitems to a group-member, due to the fact that assisning to a group is not possible.
Reason for assigning to a group-member is that, if an application owner changes, I only have to change his/her group membership, and not the automations involved (which would be a lot more work and risk).
Example:
User A and user B are together responsible for application X. I created a group called "Admins app X" where both user A and user B are member of. If a workitem for application X the automation sends an email to the groupmembers that a workitem is created.
But I (we) would like to assign the workitem to either one of them (don't care which one) making it more easy to show on dashboards, filters etc. Otherwise we have several items not assisgned and can not send reminders to assignee that the workitem is not taken care off.
Did a lot of searching on how to query out 1 of the group-members, but no luck so far. Any good suggestions or work arounds for assigning based on a group?
Thanks a lot,
Jeroen
The Assign work item component in Automation allows you to assign the work item to a user in a group, and the method can be either Balanced, Random, or Round-robin.
Great!
Shame that I missed this drop-down...
Have a nice day,
Jeroen

Hi @Mikael Sandberg @Dan Breyen
But then you still have to specify the group.
So per application this could mean an automation rule, so @Jeroen Gouma how many applications do you have?
If this is extended I still think you would need to see a solution using Assets.

Hi Marc,
This will be approx. 15 applications. 1 Automation runs when ticket is created (for all applications), extracts the name of the application from the workitem summary. Based on a lookup table find the name of the admin groups.
I think this will be sufficient for now, but linking to Assets might also be an option to explore.

You could use Assets for this.
Have applications as objects and an attribute of type group to the object, then you can select the group.
Then in an automation, based on the application get the value of attribute group, set in a variable.
And on the Assign work item action, use based on group (choose random) and in the group field set the variable.

Hi @Jeroen Gouma Mikael beat me to it. I was going to suggest that as well. You can make a list or base it on different criteria.
