Form deletes itself after automation?

Hi,

I have an automation that fills out a form with request information to format it into a downloadable document. And I do this through an automation. I'm running into this issue in that, after the automation runs successfully, creating the form and posting it as a comment in the customer portal, the automation disables itself saying that the form no longer exists when it does. Has anyone run into this issue? Is there something I can do to fix it?

Hello @Kenny Tanaka

When asking for help with an Automation Rule context is quite important.

Can you please share with us screen images showing your entire rule? With that information we can try the same scenario in our own environments also to see if it replicates.

Can you also provide a screen image of where you are seeing the message about the rule being disabled because the form doesn't exist?

It sounds like the automation is losing track of the form after it’s created. Here are a few things to check:

Add Delays: If the form is created and then accessed right away, add a small delay in the automation before referencing it again. This gives Jira time to properly register the form.

Check Object References: Ensure the automation is correctly passing the form’s ID or URL between steps. If Jira can’t find it, it might be due to how the reference is handled.

Permissions: Make sure the form is accessible to the automation user. A permissions issue could cause Jira to not find it after creation.

Audit Logs: Review the automation logs for any specific errors related to the form creation or access — this might reveal why it’s being deleted.
