I have noticed that recently in newly created rules I'm only able to create automation rules with the actor either being "automation for jira" or "user who triggered the event". In our case, we frequently use automation to add ext. comments to work items which in turn are emails to our customers. However quite a few of other customers have words like "automation" in a banned word filter list, meaning all these emails land in their junk folder.
Therefore my question, how can we change the actor of these external comments (which are emails) to a specific user instead of "automation for jira"
Regards
The actor is the user that runs the rule, not the sender of an email to a customer.
it will help us to help you if you provide:
1. what type of project is this (e.g., company-managed, team-managed, etc.),
2. images that show your complete rule.
3. images showing the details of any relevant actions/conditions/branches.
4. images showing the Audit Log details for the rule execution.
5. Explain where the issue is.
These questions are not for not willing to help, but to have community members understand on how automation works.
Hi @Marc - Devoteam
In our case the rule actor makes the comment, which in turn send the external email to the customer.
1. Team-managed
2. It's an edit block to add a comment to the work item as seen in the screenshot.
3. See attached
4. Audit log not relevant
5. The issue is the rule actor, is the commentator and therefore mentioned in the email when the outbound email is sent. Customers can have certain trigger words like "automation" flagged for spam filters. I want to change the rule actor to a specific user.

Add a user to the project with the correct permissions (agent) and in the rule details set this user (start typing to get the user).

Hi @Marc - Devoteam ,
The problem is exactly that I can't chose any other user in the rule details. Only "automation for jira" and "user who triggered the event" are available in the dropdown.
I'm also site admin.

Start typing the name of the user you want to have this automation run from.
This users needs to be an agent and have access on the project.
