Assets for Contract management

Hello folks,
I have received a customer query:

Product: Jira Service Management on Datacenter.

"We would like to use Assets in JSM for Contract Management. Some of the requirements are:

  • Create an asset/agreement/supplier.
  • Specify which department uses the agreement (IT, HR, Finance, etc.)
  • State which company is part of the agreement (XYZ & Co, ABC & Co., etc.)
  • Upload more than one agreement/document per asset
  • Be able to search for these assets
  • Org no
  • Enter contract owner.
  • Reminders to contract owners when the contract is nearing its "end"
  • Payment terms

Enter dates for e.g.:

  • when the agreement was signed
  • When the contract must be renewed.
  • Upload date


Free text fields that can be searched on e.g.:

  • Subcontractors used by supplier

We also want to be able to control who has access to these agreements.

  • 1-2 admins who have access to all agreements.
  • Users who have limited access only to their own providers/contracts.

"

I know Atlassian advertise it that Assets can be used for this purpose. It is just that I have never seen some using it for such.

Is there hope?

Hi Ubaid.

It indeed can be used for this.

I made a quite complex contract management system for a customer once in Assets.

In this setup it was needed for billing their customer correctly.

So every time one of their customers created a request it was matched with their organization and because their contract items was matched with their organization. The correct billing type was deployed to their request in JSM.

That was just a little part of the whole setup.

I don't see any requirements you can't fulfil in Assets. For the reminders you can make automations.

So short answer, yes there is hope :-)
