Hey all - we had another great "Getting Started with Confluence" session earlier today with lots of great questions! I've copied them all in below and answered them as best I can - enjoy!
Questions
Can spaces have different permissions? For example, everyone can see the HR space but only HR staff can add or change content.
- Yes! Each Space has it's own permissions. They can be the same, however, they frequently differ. This allows you to control view, edit and other options (more here, and check out my articles on permissions here).
Are there ways to organize an organization's spaces? to use the library analogy - having areas of spaces like putting all the non-fiction spaces together? vs having to look at all spaces and scroll through them? Or in an organization - grouping departments together and grouping projects together
- Yes! Spaces can have "categories". These are tags added by space admins and can be used to organize spaces into groupings.
Space is like a sharepoint page?
- A space is more like a folder - it contains related information. (apologies, haven't used Sharepoint in over a decade!)
Can we transition a live doc to a page?
- Sure can! Go to more options -> convert -> live doc
Can you have different fonts?
Can you add JIRA work items into you page?
- Yes - look for macros with "Jira" in the name, or just paste a link to the work item.
- Note that Jira permissions are respected, so if someone can't see that work item they won't see it on the page.
Best practice for sharing links to files in pages/live docs that currently exist in other tools like SharePoint?
- Ideally shift the content to Confluence to make it the source of truth.
- Alternatively add links to them as "Smart links" to the hierarchy.
What about JIRA Plans/Advanced Roadmaps or Structures?
- Paste the hyperlink onto the page, it will expand as a smart link.
Can content be imported?
- Yes! When you create a page go to "more options" -> templates/import -> Import
Can you talk about best practices for adding and updating downloadable files? Also any tips for how to find downloadable files?
- Yup! In general don't :D Downloaded content is instantly "static" (frozen at the point in time it was downloaded. Instead keep it in Confluence so it can be part of live collaboration.
- You can search for attachments (go to quick search and change the "type" dropdown to "attachments").
- Some macros also list attachments.
- Space admins can also see a list of attachments.
Is there a certification or badge we can add to LinkedIn for this?
- No... but I love that idea.

- Go to community.atlassian.com, click on your profile (top right) and scroll down a bit
is it possible to switch back to he classic version?
- Not to my knowledge!
- It can be annoying, but it's a short-term habit change... after a bit of time you won't even notice it.
how new is "Live doc"
- They were introduced to most groups in mid 2025.
do we have Cascading perms at this point?
- View restrictions (the ability to see a page) DO inherit (cascade) to children
- Edit restrictions (the ability to edit a page) DO NOT inherit (cascade) to children
so the Restrictions for that page "hold" even if moving into another place?
- Yes, restrictions are retained.
