Hi,

I am new here and starting to use Trello for a weekly shift check list.

On a weekly planner board I´ve created cards (each card name is one of the week days- Monday/Tuesday....).

Each day has morning check list, afternoon check list and evening check list.

And each of those check lists are repeating every day.

So my idea was that every Sunday, all the check lists that are done(everything is check on them)-  move to my Done card, and after that new check list (morning, afternoon, evening check list) is added to the each card (Monday, Tuesday, Wednesday/...)

Can you please help me what rules should I crate to make this work? :)

Thank you!

Ivana

Hi @Mjölnir

It's Mary from Planyway calendar for Trello

Setting up automated rules in Trello to manage repeating checklists and moving completed tasks can streamline your workflow significantly. To achieve the setup you're describing, you'll want to use Trello's Automation (Butler) feature, which automates tasks based on triggers and actions you define.

Please note that depending on your Trello subscription level (free, Business Class, etc.), there might be limits to how many commands or the complexity of the automation you can create.

1. Create the "Done" Card

First, ensure you have a card titled "Done" or something similar where you'll move your completed checklists.

2. Setting Up Butler Rules

You'll need to create rules in Butler for each part of the process: marking checklists as done, moving them, and creating new checklists for each day. Here's how you can start:

Automate Checklist Completion to "Done" Movement

Unfortunately, Butler doesn't directly support moving checklists. Instead, you can automate marking items as done and then move the card based on checklist completion status. However, since you want to keep the cards for each day of the week, we'll adjust the strategy: You'll archive the completed checklist and add a new one instead.

a. Archive Completed Checklists
  1. Go to the Butler dashboard in your Trello board.
  2. Create a Scheduled Command that runs every Sunday.
  3. Use a command like: "For each card in the board, if all the checklists are completed, archive the checklists."
b. Add New Checklists for Each Day
  1. Still in the Scheduled Command section, set up commands that also run every Sunday, after the archiving action.
  2. For each weekday card (Monday, Tuesday, etc.), add a command to:
    • Find the specific day card.
    • Add a "Morning Checklist", "Afternoon Checklist", and "Evening Checklist" to it.

Example Command for Adding New Checklists

This example is for adding checklists to the Monday card:

  • Trigger: Every Sunday at a specific time (e.g., 8 PM).
  • Action:
    • Find the Monday card.
    • Add checklist "Morning Checklist".
    • Add checklist "Afternoon Checklist".
    • Add checklist "Evening Checklist".
