Is there any plan in Trello in which a minimum of 5 users?

Luisa Bengtsson June 20, 2024

Hello!

  • Is there any plan in Trello in which a minimum of 5 users can enroll?
  • Could each user have their own Trello with private boards and other boards shared with the work team?
  • In this scenario, should each user create their own profile and then link them all? I’m a bit confused. If each user creates their own profile, it seems that expenses would be generated for each person. The idea, however, is to create a central profile that accommodates multiple users, allowing them to maintain their own private boards while also sharing some common ones.

Thank you in advance for your help

Luisa

Hi @Luisa Bengtsson

Answers below!

  • There's no specific limits for Trello user counts - you can have a free or paid instance with 1 user
  • You can limit access to boards using visibility settings, see this help page. You could then create public boards for the team. I would recommend though having the users in one Trello Workspace, rather than each user in individual ones, otherwise the public/shared boards would be more complicated to manage.
  • Users will need their own unique user account each - sharing accounts would cause confusion on who is updated what, and make this setup difficult to create. It's also against Atlassian's terms of service which you agree to when you sign-up.
  • But...
    • You can use Trello for free though up to 10 collaborators (which includes workspace members, guests, and pending invitations).
    • On paid tiers, you only pay for Workspace Members and Multi-board Guests. Single-board Guests are free. This might allow you to have some users as free guests in certain scenarios, limiting your costs? See more on how billing works for paid plans on this help page.

Firstly, Trello has a free tier.

Secondly, Trello does things a little differently than usual. In that the Free/Paid tiers are not account-based, but workspace-based.

Thirdly (Ste already mentioned this), is that workspaces will bill only members and multi-board guests.

So depending on your use case. You could have 5 (free) accounts in a free-tier workspace. But each account could make their own private free-tier workspace to get access to private boards. Or set up personal boards in the same workspace with just lowered visibility as Ste suggested.

Or you can set up a paid-tier workspace, with only a single member, and have everyone else be guests of the one singular shared board (so that they never become billable multi-board guests) ensuring you only pay for one account. With a second free-tier workspace for shared boards that don't get the paid features. Or multiple private free-tier workspaces for each of them to manage their own stuff (that you won't have access to)
