Checklists items and custom fields in workspace views

Parker January 15, 2023

Hello,

On any given day, I will have a card or a checklist item due, across several boards. The only way I can manage my time effectively is if  I can create a single view that shows me both card and checklist items  into my work view.

Is there any way I can manage my tasks [cards and checklists] across boards in Trello?

Additionally, is there a way to add custom fields as filters to views?

This app seems great for managing individual projects, but as someone who works on several, I'm struggling.

Editing for clarity - I'm looking for a way to view checklist items assigned to me by date, from across multiple boards, in one place. This seems like the only way for someone assigned to multiple boards to manage their work.

Hi @Parker and welcome to the community,

I know for a fact that you can use unito power up to achieve this. Please read this documentation as well https://blog.trello.com/trello-unito-power-up

Let me know if that helps!

Hey Alex,

Im not looking to sync cards across boards, I'm looking to see which checklist items I have coming up that i need to work on. Trello has a 'workspace views', feature which seems to only show cards, yet  cards aren't the only object that can have an assignee and a date. Im looking to 'view' all of my upcoming checklist items as well. Right now I have to click into every upcoming card to view the checklists and due dates.

This is pretty basic functionality for project management software (viewing a summary of tasks assigned to someone), I'm sure I'm just missing it.

@Parker sorry, I misunderstood your question!

There is a way to view all your tasks via "Home":

Thanks!
For some reason the home screen doesn't show up on my Trello, at least, not as pictured in the article. When I use the link in the article, however, I can see it. This also means I can't access it from the app. Oh well, I've bookmarked it, and this solves my problem. Looks like they removed the 'home' button in the picture and now you just click the 'trello' logo.

I don't think the Home screen option really fixes the original issue satisfactorily.

Having a public workspace view means other team members can see what my workload is. It's also much easier to read at a glance what tasks I have coming up than the home screen which seems to be less useful.

Is there a way to have the checklists tasks and cards all in one view? This seems like a missed opportunity that would make Trello great.

Hello together
I have the same need as Parker.
I manage Trello for my whole team and the wish is that I see all my tasks in a list.
Both cards and checklist items.
A workaround like Joel described is not practical or easy to implement.
I don't want to create a new board for each person and copy and then link each card or checklist item. The problem is that the original card is not edited when linking and mirroring the card does not make sense either, as the checklists would have to be converted into cards.
Does anyone here have a suggestion on how I could solve this problem?
@atlassian can you add another filter for the checklists in the workspace table?

Parker, as someone that is managing work on multiple boards in various cards and checklists, I've come up with my own way of dealing this that is probably a little clunky, but it works great for me.   Basically I've created my own board - in this case named "My Daily Board".  This is the board I work and plan in - my "single view".  Feeding this board from the multiple team boards, is a simple automation that takes checklist items and coverts them to linked cards on my "My Daily Board".  I then use my own workflow to plan, schedule and execute my work.

The way this works is, as I'm collaborating with my team during huddles and meetings, we're usually in one of the multiple "source" boards.  When I'm given a checklist item, I'll have the huddle leader tag me in the checklist description.  This tag will trigger my automation:

when I am mentioned in a checklist on a card by anyone, create a new card with title "{usernamelessmentiontext}" in list "Inbox" on board “My Daily Board", link the card with the item, add the sky "Subtask" label to the card, and set custom field "Board Source" to "{boardname}"

Beyond this, I'm able to mark the source checklist item complete using some more automations.  It works great.

You can do this on a card level as well with a slightly tweaked automation.

One thing that would make this work really well, is if I could trigger the automation when I'm assigned to a checklist item (instead of the tag action), but alas this trigger action is not available as far as I've been able to find.

@Parker

Dashcards should help with card due dates. For items it should be on your Home page but it cannot recall seeing the same for CF dates.
