How to Cultivate a Culture of Knowledge-sharing at work

It's Hind from Jaanga, and today I chose to talk to you about something that lays the groundwork for success in any collaborative workplace.

🌱 Ever wondered how to maintain productivity and be successful in your position? This can be difficult with limited budgets, busy schedules, and lack of resources. but knowledge sharing might be the solution.

In simple terms, it is an organizational culture that encourages and supports knowledge sharing of all kinds between the individual and the organization.

Knowledge sharing is the process of optimizing your company's most valuable resource; the expertise and knowledge of your team.

There are two kinds of knowledge sharing:

Explicit Knowledge Sharing:
This is the most basic form of knowledge and can be easily expressed, interpreted, and documented.
This type of knowledge sharing involves the transfer of tangible and codified information. It includes documents, your company FAQ pages, whitepapers, and any other written or recorded forms of knowledge. Explicit knowledge is easily transferable and can be communicated through formal channels such as meetings, presentations, emails, and documentation.

Tacit Knowledge Sharing:

Tacit knowledge is more subjective and personal, often rooted in individual experiences, insights, and intuition. It is difficult to articulate and codify, making it challenging to transfer through traditional means. Tacit knowledge sharing involves informal methods such as mentoring, coaching, brainstorming, and collaborative problem-solving. This type of knowledge-sharing often occurs through direct interactions between individuals and relies heavily on interpersonal relationships and trust.

What are the Benefits of knowledge sharing?

Faster Problem-solving and More Space for Creativity:

Sharing knowledge allows employees to tap into a collective pool of expertise, enabling faster identification and resolution of issues and challenges. Your team will be better and more efficient problem solvers thanks to this knowledge base.

Also, as tacit information is hard for others to recreate, sharing it is essential to having an inventive capability. So encouraging knowledge sharing in that case and successfully implementing it within your company will result in employees feeling more confident and being more creative.

Enhanced Learning and Reduced Duplication of Effort:

Knowledge sharing helps prevent redundant work by enabling employees to access existing information and leverage previous experiences, while optimizing resources and minimizing waste.
According to McKinsey research, an average worker spends over 20% of his time seeking internal knowledge or locating coworkers who can assist with particular tasks.

By creating an internal knowledge base or another knowledge-sharing solution, you may put an end to this waste of time and energy. Also, this will greatly increase your employee's productivity.

Stronger Organizational Culture:

A culture that values and promotes knowledge sharing fosters a sense of belonging, shared purpose, and collective identity among employees, contributing to a positive work environment.
As a result, teams are more skillful and full of confidence. Because when teams possess knowledge and easy access to information, it boosts their morale and they can work with more dynamism.

Better organizational synergy and goal achievement:

Having all of your employees on the same page is one of the best outcomes of knowledge sharing.

Every person gets an understanding of the larger picture since they can all access best practices, company values, fundamental goals, and objectives at any time, which is crucial over the long run.

It can really change the game, especially if you have remote teams or a hybrid work culture where workers don't often interact with one another or visit the company.

Organizations that prioritize knowledge sharing are better equipped to adapt to changes in the business environment, mitigate risks, and sustain long-term success.

4 Ways to Encourage Knowledge Sharing in the Workplace

It takes an intentional effort to create an environment where employees feel empowered and encouraged to contribute their knowledge, experiences, and ideas to create a knowledge-sharing culture in the workplace.

Here are some tips to promote a culture of knowledge sharing:

Encourage a culture of learning

The first tactic is to cultivate an environment that encourages and rewards employees for learning.
You must provide your employees an appealing reason to participate in your building of a knowledge-sharing culture. Employees will already be aware of the positive impacts of sharing knowledge with others and will be equipped with the necessary tools and abilities to do so.
The best way to build such a culture is to offer a variety of learning opportunities, like seminars, mentorship programs, formal training programs, workshops, etc.

Anticipate and Remove the obstacles

Whether it's a lack of time, resistance to change, or choosing complicated tools, you need to be prepared to anticipate and address typical obstacles to a culture of knowledge sharing before you start building one.

Set clear expectations for knowledge sharing and align them with the organization's goals and objectives. Communicate the importance of knowledge sharing to the overall success of the organization.

Use the right tools for knowledge sharing
Sharing knowledge is about breaking down silos, so the first step is creating a centralized platform for knowledge transfer. This can include internal knowledge base software, knowledge management software and knowledge sharing platforms.

Confluence is one of the best cloud-based knowledge-sharing tools to use. It's excellent for creating, managing, and collaborating on projects across teams. It offers a powerful collaborative editor that allows team members to create and share content like documentation, employee handbooks, how-to guides, and corporate policies and procedures.
The tool also offers robust features like a rich-text editor, page, and file versioning, access control, and other new features like AI-generated summaries. And the most important, you can work from anywhere using a desktop or mobile device to synchronize Confluence.

Cheer for Every Win!
Changing how employees think and act takes time, but one of the best ways to encourage sharing knowledge in your workplace is by celebrating the small wins as you go. Celebrating successes and recognizing team members who get involved reminds everyone why this sharing culture matters and how it helps the company.
Use your existing corporate tools to spread some love. You can give a public high-five to team members and share stories of success. Or set up a system where colleagues can give props to each other for the big contributions they're making.

 

Remember, building this kind of culture isn't a one-time deal. It takes everyone pitching in, from senior leadership to the newbies on the team. By making knowledge sharing a priority, you're giving your team the tools to brainstorm, innovate and set up for for long-term success.

Great article!  I am currently trying to do more sharing of my work in blog posts and articles in Confluence, 

The problem I have is that we all agree we need to share our knowledge between our many teams but no one seems to be following my lead. I always get positive reactions to my posts but no related comments or discussions.  Has anyone else here hit this wall and succeeded?  If so how did you overcome?  

My blog content is a mix of work and social topics.  I typically include things like my weekend activates or something going on in the office like pizza day.  Some of my co-workers went to Def-Con this year so that was a topic.  I usually include a section called 'Kudos!' (cheers for wins) where I recognize mile stones met or difficult problems that were resolved by various teams.  I also include content about the work our team is doing.  

My Confluence articles are mostly software documentation as this is part of my job.  So this would be explicit knowledge.  I am always looking for tacit knowledge as well.  I usually share this information in the form of stories about situations or people in the company.  This tacit knowledge seems to fit well within the blog posts and includes links to the related explicit knowledge in the Confluence articles.  Many times a related Jira issue is linked in as well for better context from both side of the issue.
