Tasks Not Appearing on Kanban Board

rebecca.hendricks March 1, 2023

Edited to include more screenshots requested.

I have tasks in my project that are not showing on my Kanban board. They used to be visible but aren't now.

I have already confirmed that the status of the ticket(s) are associated with a column on the board. I have also checked that there are no custom filters assigned to the board, nor a board filter on it.

What is causing the tasks to not appear on the board when they used to be there?

Hello @rebecca.hendricks

Welcome to the Atlassian community!

In addition to @Jens Schumacher - Released_so 's request for a screen image of the board (showing the cards), can you also provide a screen image of an issue that you think should be displaying on the board but is not?

I have provided screenshots for a couple of tasks not appearing in the board. There are a lot, but I didn't want to make the post several pages long.

The two examples you provided are issues in a green/done/Closed status. In a Team Managed Kanban board, issues in the last column will be automatically hidden when they have been there and not updated for 2 weeks or longer.

Do you have an example of issues that should appear in another column?

That seemed to be the resolution. I was not aware of the 2 week "archiving" process.

Is this applied to any task in a "terminal" status of the workflow process? If I wanted to keep track of tasks that will no longer be processed for historical purposes (making it easier to locate) I would need to:

  1. Create a new "phantom" terminal status
  2. Update the workflow process to allow all statuses to be placed in that "phantom" status (but not actually put any tasks in that status).
  3. Update the last column in the Kanban board's columns to hold the "phantom" status only.
  4. Update the Kanban board's columns to hold a new column on the board before the last column.
  5. Assign the "dead" task status to the new board column.

Is this the only way to still be able to locate the tasks on the board without having to search for the tasks specifically?

It does apply to all issues in the last column of the board.

I would not recommend adding a phantom column/status to the board. To me that seems like a lot of work when you could more easily, in my opinion, just have a Saved Filter that retrieves the issues in the statuses mapped to your last column.

@Trudy Thank you so much!! I will set up a Saved Filter that allows me to be able to quickly view those tasks in those statuses.

Hi @rebecca.hendricks

Your screenshots shows the setting detecting the issues in each status ... Can you attach the screenshot of the Kanban Board which appear empty as @Trudy Claspill mentioned earlier?

I attached screenshots. The issue is not that no cards are being detected, but rather that not every card is being shown. There are quite a lot of cards that have a status linked to a column but that aren't showing up in the column. They used to be there and now they are not, even though no filter is set.

Hi @rebecca.hendricks

You already ruled out the obvious (filters), which is great.

Do you have a full screenshot of the board? The headers suggest that the columns do contain issues. Hard to gauge what's going on from those shots so far.

Cheers,
Jens

I provided a full screenshot of the part of the board I could. I made sure to include the column where the provided tasks should be displayed but are not.
