How to automatically attached an email to an issue

Hello,

I have automated emails with the issue.key (VAL-601) in the sujet line of the email.

Is there a way that when my customer replies, the reply email be automatically attached to the issue (VAL-601).

I use Outlook.

It works when I use Microsoft for Jira. But with that app we can not use a Smart.Value for the From: email address. In Jira automation we can, and I need the From email address to be flexible by using a Smart.value field.

Hope Im clear

Thanks

Hi,

To achieve the automation of attaching customer replies to a specific Jira issue (like VAL-601) when using Outlook, You can use a combination of Jira automation rules, Jira Incomming mailhandler and Outlook rules.

Something like:

Setup Mailbox with Email in Jira for working with Mails

Use an emailadresse only for receiving Answers from your customers .

Step 2: Set Up Outlook Rules

  1. Create a New Rule in Outlook:

    • Open Outlook and go to File > Manage Rules & Alerts.
    • Click on New Rule.
  2. Apply Rule on Messages I Receive:

    • Choose Apply rule on messages I receive and click Next.
  3. Condition: Subject Contains

    • Set a condition to check if the subject contains the issue key (VAL-601).
  4. Action: Forward to Jira Email

    • Set the action to forward the email to the Jira email address that is configured to create comments on the issue. This is usually a specific email address provided by your Jira instance.
  5. Finish the Rule:

    • Complete the rule setup and ensure it is enabled.

So now an email come to outlook, is sended to Jira an attached with the issuekey to the issue and you can work like before.

I Hope i dont misundrstood your question .  Its a blueprint to archieve this topic.
