How are Workflow Schemes and Statuses linked?

Amulya Sankara February 7, 2025

Hi,

I recently converted my team-managed projects to company-managed projects. The migration was successful. I then wanted to create a board combining a few company-managed projects for my Software Team who needed more columns and statuses as compared to the Project boards.

I was looking at workflow schemes and was trying to figure out how to create something for the combined board. I did not make any changes and discarded my drafts in the workflow schemes. However, I now have a problem where I cannot see any issues in my projects and boards. And it seems to be linked to the statues and workflow schemes.

I would like to understand how they could be linked. And if there is any way to deleted statuses that are not in use and got migrated from the team-managed project. Any guidance on similar problems would help.

Thanks!

Hi @Amulya Sankara

Can you show detailed information on you board configurations and settings?

Are you granted access on all projects and are the filters used on the board shared filters?

Board columns contain workflow statuses and only workflow states that are used in a workflow.

If you create a board that uses a shared filter to input issues from multiple projects all related statuses from the workflows used in both projects are shown, but the issues can only use the statuses in the workflow linked to the issue type.

Hi @Marc - Devoteam

I have confirmed that the project workflows are using a simple To Do . In Progress and Done statues. I can see all my project issues when I go to the Jira Search -- All Issues and they also show the associated statues.

However, in the project boards, I can see other statues that might have been migrated from previous team-managed projects. I cannot see any of my issues in the project boards. And when I click on Configure Board, I see the below mapping.

jira board.PNG

Even if I ignore the additional statuses, every status shows no issues assigned to it, which is very weird because I can see the correct statuses for each issue from the Jira Search area.

I checked each workflow used in the current projects and all of them are the simple one I mentioned above. They all have seperate names as per each project.

I have access to all projects and settings, as I have the admin permissions.

Hi @Amulya Sankara

Are there issues in the projects, not looking at the board?

What is the filter used on the board, is this a shard filter?

Are there multiple To DO, In Progress, etc states in the system? If so are the correct ones used in the workflow?

Hi @Marc - Devoteam ,

Thanks for the questions. I rechecked everything and there was an issue with the board filter. It's resolved now! :)
