Email&Tasks supports field configuration in Jira

We all work with more than one project in Jira. And we all try to make our lives easier with third-party applications. Most of them have the same drawback - difficulties with custom fields. Usually, developers don't pay much attention to their peculiarities and pull standard fields into addons.

Paying attention to the requests of our customizers, we tried not to ignore this problem and now Email&Tasks: Jira Cloud for Gmail supports customization of almost all custom fields in Jira.

Why can't we maintain all of them? Some fields can take many values from a large sample. It is almost impossible to programmatically "pull" them into the app without breaking anything. But as practice shows, such fields are quite rare.

So, let's show how it works in a real example.

šŸ’”Case. I received an email from our creative PM about developing new promotional material for a product. I had to assign the task to the designer by sending him the layout from the email. So I opened the Email&Tasks add-on and started the tasking process. I select the appropriate project, check the box for the app to redirect the content of the email, including the layout, to the task, and fill in the usual fields.

Then, scrolling through the task creation menu, I can fill in all the custom fields of this project.

This way, I can immediately convert my emails into full-fledged tasks without filling them out separately in Jira.

Our Google Chrome extensions also support this feature - Jira in Chrome and Issue Creator for Jira Cloud.

How to find tasks converted from emails in Jira

Avoid chaos and bring order. If you often create tasks from your Gmail inbox, you must manage them. And sometimes, you need to filter them in Jira to find what you need.

So, first of all, create a custom field in your Jira instance. For this purpose, the Labels field type is best suited.

Name this field and grant access to the projects in which it should be available.

When you create a task from your Gmail inbox, enter the email address of the person you've been corresponding with into the new custom field.

After these manipulations, it will not be challenging to find a task in Jira that is associated with a specific email. Enjoy!
