Convert emails into Jira issues and not only

Good email management is not a simple task. Of course, you can use labels for superficial sorting. But if you're the kind of person who has 100 new emails in their inbox every morning, you need to look for a better solution. There are several options:

AI-based smart search in Jira

For most Jira users, it is difficult to comprehend and learn JQL syntax for advanced task searches. Knowing this problem, we developed and implemented the Smart search Jira issues functionality in the app. This option is available in both the Gmail app and the Chrome extension.

How to use Smart Search?

  1. Step 1. Open in your Gmail Email&Tasks add-on and switch Use natural language to search.
  2. Step 2. Enter a query in the search bar in your native language to find the tasks you need, and click the Smart search button.
  3. Succes! And you get a list of all the tasks that satisfy your request.

Also, you can open JQL results in the Jira Advanced search. Try using this functionality and ensure that it greatly simplifies the process of searching for tasks and does not require any effort.

Creating issues using AI, if emails aren't in English

You can use the option "Try 1-click task (AI-Based)" if you communicate in any other language. In the first version of the app, AI task generation from emails was available only when the text was written in English. Now, this feature is available for non-English-speaking users as well.

How it works

  1. Open the email you want to convert into an issue and click on the button “Try 1-click task (AI-Based)”
  2. As a result, you get a generated task. The subject of the letter will be placed in Summary, and the letter's content - in Description.
  3. By default, the project pulls up the one in which the user is added and has been active for the last period. Assignee and Reporter are Recipient and Sender names, respectively. Priority - by default, “Medium”.

Using Email&Tasks in Gmail mobile app

Email&Tasks: Jira Cloud for Gmail is not just for use on the desktop version of Gmail.

You can also convert your emails to tasks in Jira from your phone.

  1. Step 1. Open the email you want to convert to a task.
  2. Step 2. Scroll to the bottom of the page and click on the app icon.
  3. Step 3. Choose a feature Try 1-click task or Add new issue; make sure that the required fields are filled in and click the Create issue button.

Note that in addition to creating tasks, you can also perform the following actions in the Gmail mobile app using Email&Tasks: Jira Cloud for Gmail :

  • edit issues;
  • add comment;
  • log time;
  • search issues;
  • smart search issues (by transforming your plain text to JQL query).

Define issues in email with the Jira in Chrome extension

We have developed functionality that allows you to detect the presence of a task in emails and display its name, type, and status. You don't need to open the email; you can see it on the Gmail start screen and focus on what you need right away.

Also, in the settings, you can set the type of Jira task display that will be most comfortable for you.
