Confluence page status: a comprehensive guide to managing content lifecycle

confluence-page-status-illustration.png

Introduction to Confluence Cloud page status

The Confluence Cloud page status provides users with a visual indicator of a page's current position in the content lifecycle. A Confluence page status report takes all or a subset of statuses and helps understand the health of content acoss a Confluence site.

Whether you're working on a small team or managing Confluence for a large enterprise, understanding how to effectively utilize the Confluence page status can streamline your content management processes and lead to a better Confluence user experience.

In this comprehensive guide on Confluence page status and reporting, we will explore the various aspects of Confluence page status, including how to view and update it, automate its changes, and create page status reports using Better Content Archiving for Confluence app.

Understanding Confluence page status

Confluence page status is a key element in managing content lifecycles. It allows users to view the status of a page, usually located at the top, providing a quick overview of where the page stands in the content creation, review, and approval workflow. The page status acts as a visual cue for team members, reducing unnecessary interruptions and ensuring review deadlines are met.

The status names should reflect your team's existing processes and document management workflows to ease understanding and minimize friction. To this end, built-in page statuses should be edited and revised for clarity.

Updating Confluence page status

Confluence page status can be updated manually or automatically, depending on your requirements. By setting the page status manually, authors can track and display status changes, providing transparency and accountability throughout the content lifecycle.

However, for large teams managing numerous pages, manual updates can be time-consuming and prone to errors. To overcome this challenge, the page status needs to update automatically, serving as a driver for efficient content lifecycle management.

Automatic triggers for Confluence page status change

To automate Confluence page status updates, you can define triggers that determine when a page status should change. These triggers can be based on factors such as:

  1. Inactivity: If a page hasn't been visited or edited for a specific number of days, the page status can be automatically updated.
  2. Periodic Review Due: If the page content is due for periodic review, the page status can be automatically changed to reflect this.
  3. Manual Actions: In addition to automatic triggers, manual actions should be available to set statuses like "Review Needed," "Approved," or "To Archive."

By implementing these automatic triggers, you can ensure that Confluence page status remains up-to-date, providing real-time insights into the progress and status of your content.

Extending the Confluence Cloud page status with Better Content Archiving

While Confluence Cloud offers built-in page statuses, these are limited to a maximum of five. However, for organizations with complex document approval workflows or content lifecycles, this may not be sufficient. This is where the Better Content Archiving for Confluence app comes in.

Only 5 built-in statuses are available in Confluence by default

Better Content Archiving for Confluence provides a more advanced page status experience, allowing you to extend Confluence Cloud page status with a wide range of statuses.

You can use up to 20 statuses to align with your team's document review workflow. Each page status can have a name, color, icon, and description, providing a comprehensive and customizable status management solution.

Setting the Confluence page status

Setting the Confluence Cloud page status can be done manually or automatically. Let's explore both methods:

Manual page status updates

To manually set a page status in Confluence Cloud:

  1. Define the desired page status within the content status scheme.
For example, define the " Review in Progress" status using CQL:
    label = "review-in-progress"
  2. Some statuses, like "Expired" or "To archive" can be directly selected on the page, no configuration is needed. Use a quick action to select the status.
  3. Or add a label to the page reflecting the desired status.
  4. The status is now updated!

By manually updating Confluence Cloud page statuses, authors can have full control over the content lifecycle, ensuring that each page is accurately categorized and tracked.

Automatic page status updates

To automate the Confluence page status updates using Better Content Archiving for Confluence:

  1. Define the desired status using Confluence Query Language (CQL) within the content status scheme.
  2. Specify the criteria for automatic updates, such as label matching or last edit date.
  3. Save the settings and let the app automatically update the page status based on the defined criteria.

By automating page status updates, you can save time and reduce the risk of human error, particularly in large-scale content management scenarios.

Confluence page status reports

Understanding the number and status distribution of your Confluence pages is crucial for maintaining high-quality content within your Confluence Cloud instance. While Confluence usage data is usually scattered in Confluence Analytics and other apps, Better Content Archiving brings Confluence usage and content lifecycle-related analytics under one roof.

Track individual page views or space metrics, user activity, and engagement metrics on these better Confluence analytics dashboards:

  • Page status distribution report: See the percentage of pages in each status (draft, published, archived, etc.) with the "Content Status Distribution" report. This helps identify areas for improvement, like unpublished content.
  • Detailed page count: Get the exact number of pages in each status with the "Confluence Content Count" report. This provides a more granular view alongside a helpful bar chart.

Thank you for sharing these tips! Confluence Page Status is very useful, indeed. We're excited about the ability to track page content status and easily find actual content. That's why we added Handy Page Status and Page Status Report to our Handy Macros for Confluence. You can test it to see how our app leverages the native page status features.

sooooo we have to install an app to get a macro that shows us a list of pages by status?

Why can't we do this natively? All we want is a way to show a list of pages by status so that we can tell our team to go and update their pages.
