Problem and Requirement Description (Using Trello with a Large Number of Clients)
I have approximately one thousand clients, and I would like to integrate them into Trello as the main platform for communication and task tracking. The goal is for clients to actively use Trello to communicate with our team, follow work progress, upload photos, and exchange messages related to their own tasks or projects.
Ideally, I would like to have a setup where one Trello board could contain, for example, 10–20 clients, with each client having their own individual card. However, a critical requirement is that clients must not be able to see each other’s cards, even if they are on the same board. Each client should only have access to their own card, including communication, photos, and task status.
I understand that Trello may not support this level of privacy natively, so I would like to clarify:
whether it is technically possible to achieve this kind of per-card privacy within a single board;
or whether the only realistic solution is to create a separate board for each client;
and if separate boards are required, how to efficiently manage and navigate a large number of boards (e.g. 1,000) without creating operational complexity or losing visibility.
The main challenge is to balance client privacy requirements with scalable and efficient management of a large client base, while continuing to use Trello as the core collaboration and communication tool.
One option is that each client can have their own Trello board (so that only they have access to it and not any other client).
You can then create a master board which mirrors cards from all the client boards to track your overall work. This page explains how to set up mirroring https://support.atlassian.com/trello/docs/mirroring-cards/
