Seeking Collaboration at Low Cost on Trello

I am new to Trello and lead a non-profit Rotary Club that executes several large and complex fundraising events annually. I just learned that adding "Member" to a board is causing additional billing for each. (Yikes!) Can anyone guide me in the best course of action? I am tempted to make everyone on the project board a "Guest" but a few of them are active across our events and, as I understand it, can only contribute to other boards if they are Members. Any way around getting billed in a needless way?

The rule of thumb to note is that single board guest do not need a subscription. All workspace member and multiple board guest will require a subscription. The distinction has to be made about a guest vs a member of the workspace. The bigger issue is that if you are using automation, then a free plan will not give much to work with.
