Create a question and answer form within a Trello card.

I work for a real estate company and we have created a checklist that we need to fill out in real time when going on property tours. The checklist is divided into sections based on information type and has several questions and then blank boxes to answer those questions (see attached screenshot for example).

In order to make the process more efficient and use less paper, we would like input this all in Trello cards so multiple users can fill out during our tours. Is there a way to create a similar form in a Trello card? We initially tried to use the Trello checklist but you are not able to comment on the checklist item. Any help you all could provide would be great! Thank you in advance!

Trello cards can indeed be a powerful tool for managing real-time information during property tours. While Trello doesn't support a form-like interface natively within a card, you can achieve similar functionality using a combination of card descriptions, custom fields, and comments. Here’s how you could potentially organize a Trello card to function like the checklist you've provided:

  • Use the card description to list the questions as you have them on your checklist. For example, "What is the property name?" could be the starting point.
  • Trello's Custom Fields allows you to create fields for various data types (text, number, date, checkbox, dropdown). You could create custom fields corresponding to "Address," "County," and "School District," where users can input the necessary information directly. For efficiency, create a card template with these Custom Fields already set up. When it's time for a new property tour, simply create a new card from the template, saving time and ensuring consistency across all property cards.
  • While users cannot comment on individual checklist items, they can leave comments on the card for additional details or clarifications. This can be a collaborative effort where multiple users can add information in real-time.
  • If there are any visual elements or additional documents needed, you can attach images or files directly to the card.
  • Use labels to categorize the cards based on information type or property status.
  • For any actionable items that come up during the tour, you can use Trello's checklist feature. Even though you can't comment on the checklist items, you can reference them in the card comments.
  • If you prefer using a form, there are third-party services like Google Forms or Typeform that can integrate with Trello. You can create a form with these services and set them up to create or update a card with the responses collected.
