My coworkers want to be immediately informed, when new issues are created or are updated in a specific way (status or assignee is changed etc) in their projects. As e-mail batching is enabled in our Jira and e-mails are send with some delay, we’ve created dedicated channels in Teams for immediate notifications and tested several possibilities.
The native one was to use webhooks in Jira. This is working just fine, but you cannot configure you want to receive notifications only for a specific actions, for example status change - there’s issue updated event and with usage of it you are informed about all the changes. This way the Teams channel is overflooded and it doesn’t help much.
The second possibility was to use automation functionality, more specific Send web request action. You can send the notification after some specific action, but eventually we found this approach not usable too. There were two reasons. First of all we had to do a lot of copies of each rule with the same action, but the different trigger. When we wanted to change something in the notification format, we had to update all the rules. The second reason was more serious - from time to time, Teams rejected the notification request (even though it had correct format) and we needed to resend it. But there was no way how to implement it. We were able to find out there was an error from the response, but the rule execution ended immediately and it was not possible to send the notification again.
The third possibility was to use some application. We tried Advanced Microsoft Teams Jira Connector by MWF and stayed with it. It is possible to configure notifications we needed and also the notifications were reliable.
Surely there are more applications and possibilities, how to send notifications to Teams. Which one do you use? Thank you.
Thank you @Darren Newberry for the shoutout! @Hana Kučerová , thank you for describing your use case. We have a new advanced automation feature within Microsoft 365 for Jira: Automation features (yasoon.com)
You can book a meeting with my team here: Meet Microsoft 365 for Jira (office365.com)
We would be happy to give you a demo.
All the best, happy Monday!
