Rovo Chat and Button intermittently disappearing for users in access-controlled user group

We've set up Rovo and are managing access through the user group feature as part of a pilot program with approximately 50 users.

A recurring issue we're seeing: Rovo Chat and the Rovo button randomly disappear from the interface for these users. It typically takes multiple browser refreshes before they reappear. This has been reported frequently across the pilot group.

This appears to be a bug related to how Rovo handles user group–based access control. Has anyone else experienced this behavior, or is there a known workaround?

Hi @Greg Sypolt - welcome to the Community,

are you part of some Early Access Program? I have not seen User group-based access control for general Rovo features, only for Agent creation.

The behaviour is odd regardless. I have one test site where I couldn't see Rovo in Confluence even though everything is activated. Now the button is back. Maybe some current backend issues

@Rebekka Heilmann _viadee_  yeah, I am part of an early access program initially, I thought it was GA recently. The next time it occurs for me going to try to reproduce and capture the network calls.

Yeah - being part of the EAP you should have a contact person at Atlassian. Maybe they can help with trouble shooting but like I said: I've experienced the disappearing-Rovo-button-syndrome as well ;)

@Greg Sypolt I second that welcome. This sounds more like a frontend entitlement or feature-flag synchronization issue than a browser problem, especially since multiple users are affected and refreshing eventually restores access. Capturing network traffic the next time it occurs is a good idea. Since you're part of the EAP, I'd also report it through your Atlassian contact, as they may be able to correlate it with feature flag rollouts or backend entitlement checks.
