We’re seeing a recurring issue with the Loom meeting agent on multi‑organization calls and I’m trying to understand if this is expected behavior or a bug.
Scenario
One recurring meeting with 7 people from 4 different organizations
3 of those organizations use Loom and each has its own Loom meeting agent
When the meeting is scheduled, all 3 Loom agents are invited
Issue
For this specific meeting, the Loom agent often doesn’t join at all (no recording, no notes), and we don’t see a clear reason why.
Questions
Is this a known limitation or issue with Loom when multiple organizations’ agents are invited to the same meeting? (e.g., only one agent allowed, tenant conflicts, etc.)
What’s the recommended best practice for cross‑company meetings where several orgs use Loom? Should we only invite one org’s agent?
Is there any way for admins/users to see why the agent didn’t join a specific meeting (logs, status, error messages, known blocking conditions)?
Any guidance or documentation links would be appreciated.

Member of the Meeting Recordings team on Loom here to give you some more information on how the Loom Notetaker operates.
By default, only one Notetaker is sent to a scheduled meeting with the priority given to the meeting organizer's Notetaker if they have chosen to record. If you'd like to send multiple Notetakers to the meeting to allow for each organization to have their own recording, you can use the `Record a meeting` functionality on the `Meetings` page to send additional Notetakers by providing the meeting URL.
Alternatively, each organization can create a duplicate meeting on their calendar of which they are the dedicated owner. This will automatically send a Notetaker for each duplicated calendar entry if scheduled to record. For more information, please reference the support documentation related to this resolution.
Our recommended best practice would be to maintain one Notetaker per meeting and have the meeting organizer either update their `After meeting settings` in the `Meetings` page `Settings` tab or to share out the meeting recording and recap by changing the view access of the recording to `Anyone with the link can view`. The `After meeting settings` will apply to all meetings after modification and allows users to alter the invitees who receive access to the meeting recording and meeting recap email.
The reason we recommend only using one Notetaker is because it will provide you and all meeting attendees with the same insights from the meeting recap. Because sending multiple Notetakers to the same meeting will result in multiple distinct meeting recordings, the meeting recaps and action items will also differ slightly. However, we do intentionally allow multiple Notetakers to join a meeting so the recommendation can differ per use case depending on what you need!
