How to trigger the Rovo "Improve Task" action from an automation flow?

We have inbound emails to one of our IT teams, including automated notifications from suppliers that can appear as a big block of text.

I've found that the "Improve Task" button is now doing a decent job of summarising this and putting it into a close approximation of the standard format we use on tickets that have been raised manually.

Is there a way of triggering that from an automation job - we'd want to run it on ticket creation for anything that contains a few common strings of text in the subject (which is easy) but I couldn't see an obvious "Just hit that button" option in the actions.

I did ask Rovo how to do this and it gave me instructions that didn't match what was available :D

Hi @Alex Cook

"Improve Task" is a UI-only AI action, as far as I can see, and is not exposed to automation, which is why Rovo invented steps for you. I would rebuild it with the Use Rovo action, found under Add action > Rovo AI > Use Rovo.

Automation flow shape could be like this:

  • Trigger: Work item created
  • Condition: summary contains your strings
  • Action: Re-fetch work item data
  • Action: Use Rovo
  • Action: Edit work item with {{rovoResponse}}

Of course, you could also create your very own agent, train it even more specifically, and reuse it elsewhere.

Cheers, Martin
