Request Approval Using AD Groups

Kevin A

Hello,

I'm looking for some help with setting up group approvals for requests. I'm new to JSM (data center) and trying to understand the best way to do this.

Scenario:

The overall goal is to have a request submitted by customer, in that request the customer selects from a dropdown, that dropdown selection routes to the correct active directory group for approval and only those users in that AD group are able to approve the request.

I understand that the dropdown selection would be a "Select List (single choice)" custom field but not sure the best way to get the request to the correct approval group.

Is this best to do through a workflow or automation action?

Hi @Kevin Aftanas

as you have already found out, there is no Approver Group possible in the DataCenter version.

You can only specify a user picker custom field to base the approval on.

However, this could be a multi-user picker and you could select to either have all or one user necessary to approve in your approvals workflow.

Having that said, on way I followed to solve this is to create a ScriptRunner listener that extracts all the users from the selected group (or the group related to the ticket's selection) and add them all to the approvers user-picker custom field. This can be done using ScriptRunner. However, I am not sure how to deal with this without usage of ScriptRunner as I think the Jira built-in Automation is not capable of extracting users from a group.

Let me know, if this answers your question or if you have followup questions.

Regards,

Stefan

Hi @Kevin Aftanas

Based on your answer to @Damiano Di Battista , you should be able to create a group picket custom field.

Place this field on the correct screens and in the approval configuration in your workflow.

Then you should be able to create the automation, as suggested

Hi @Marc -Devoteam- , thanks for your help on this, I'm a little confused on how I would use a group picker custom field when my only option in the approval workflow is user picker. From what I have discovered the Approver Group is not an option in the Data Center version, if you are using Cloud then you would have this option.

Here is the Data Center article on setting up approvers and as you will see in the screenshot, User Picker is the only option - 5. Add approvals to your workflow | Jira Service Management Data Center 5.13 | Atlassian Documentation

Hi @Kevin Aftanas

Thank you, I forgot about that.

You could look at this article on how to do this based on automation;

Hi @Kevin Aftanas
I have a similar setup in my Jira instance.
When a ticket is created, a category is selected.
I configured an automation rule that, whenever the Category field changes, automatically updates the associated approver group by setting the Approver Group field.
This way, the workflow remains the same; only the group involved in the approval step changes.

Let me know if this could work for you ;)

@Damiano Di Battista thank you for the response, I have looked into the Approver Group field from other Cloud posts, unfortunately it appears that Approver Group field is not available in Data Center version but is in Cloud. When I look at my request issue after creation the only approval field that is visible is "Approvals" and I haven't found a way to populate that with a group rather than a user.
