🚀 Volume 3: Jira tips, videos & training to share with your users to help them (and you!) level up

Hey, Jira Admins!

We're back again with another round of fresh Jira tips and helpful content for you and your end users. (⭐️ ICYMI: check out the previous editions of this series here!)

Grab the resources below to share with your teams, and drop knowledge weekly in your Slack and Teams channels, company emails, or internal training resources — or share them all at once in a user enablement content pack.

Pick a favorite tip, or share one each week over the next few weeks with your organization’s Jira users. It’s a great way to empower your end users and help you shine as a Jira Admin.

Tip #1: Help your teams go from overwhelmed to organized in Jira using Rovo AI.

Our first tip this month comes with a video tutorial. Share the video below with your users to show them how easy it is to split large endeavors into smaller, actionable tasks with Rovo:

Tip #2: Personalize Your Jira Experience with Dashboards and Filters

  1. Click on “Dashboards” in the sidebar and select “Create dashboard.”

  2. Add gadgets like “Assigned to Me,” “Created by Me,” or “Sprint Burndown.”

  3. Use the search bar or JQL to create a filter (e.g., assignee = currentUser() AND status != Done), then save it for quick access.

  4. Add your saved filters as gadgets to your dashboard.

(Check out a step-by-step tutorial here!)

Tip #3: Get to know the key components of every Jira work item that make them actionable and traceable:

  • Summary: a concise title describing the work item

  • Description: detailed information about the work item

  • Status: current stage in the workflow (e.g., To Do, In Progress, Done)

  • Assignee: the person responsible for completing the work item

  • Reporter: the person who created the work item

  • Priority: indicates urgency (e.g., Low, Medium, High).

  • Connected Worked Items: shows relationships with other work items (e.g., "blocks," “addresses,” "depends on").

  • Attachments: files or screenshots related to the issue that help provide context.

  • Custom Fields: extra fields tailored to your team’s needs.

(Shoutout to @Mary from Planyway for posting this excellent guide!)

Tip #4: Prioritize clear communication and a single source of truth

Use Jira comments to communicate with your team and keep a single source of truth. Keep context within work items, not in DMs or emails.

Provide status updates and comments to keep your team aligned, avoiding the need to search through emails, DMs, or other channels.

In a recent article, Community Champion @Akhand Pratap Singh shared:

One of the most common things I hear from teammates isn’t “Jira is slow” or “Jira is confusing.”

It’s actually:

“My inbox is drowning in Jira emails. I don’t even read them anymore.

Akhand shared with the community how to tweak the scheme, guide your team, and make the whole experience feel lighter. Check out his words of wisdom.

As always, we'd love to hear your ideas for tips and content you’d like to see in future editions! Help us help you support the Jira users in your organizations. 💪
