We had a comprehensive set of HR requests in ServiceDesk beginning from Vacancy request through interview reports with approvals from all interviewers into the hiring request that finishes all procedures. All company roles were described in assets object schema which also included list of company services as well as third party applications access details.
Each role object had a list of applications and services the employee with the role should have access too. When a hiring request was created HR filled the role field. After request was moved to status "Onboarding" automation rule extracted all applications and systems from the Role object and created subtasks for admins to provide access. If employee needed an admin access corresponding subtask was assigned to vice president to approve access before admin provides it.
After employee retired automation rule was able to find all accesses he has from assets and it created subtasks for admins to withdraw access.
