Streamline your work across multiple spaces with the new list in Multi-space work

The new list in Multi-space work in Jira Service Management helps you manage work items across multiple spaces in one place.

List is now available alongside board and calendar views, giving you even more ways to visualize and organise your work items.

1. Multi-space list view

Now, you can see work items from multiple spaces in a single, unified list. Agents can filter and sort their work by status, priority, request type and more. This is perfect for teams juggling tasks across many spaces.

2. Spreadsheet-like editing 

Edit work items inline, just like you would in a spreadsheet. Update fields, assign work and make changes with ease.

3. Advanced filters with JQL

Use the intuitive JQL builder to create advanced filters that meet your needs and enjoy a consistent experience across Jira products.

Getting started

Enable the list view in your space .

If Multi-space work is enabled in your space, the list view will appear by default. If not, a Jira or space admin can enable this feature in Space settings and select Features.

Add work items from multiple spaces to your list

With Multi-space work, you can manage work items from multiple spaces in one place. To display work items from several spaces in your list, a Jira or space admin can follow these steps:

  • Go to Multi-space work and select the more menu () on the top right corner, then select Configure multi-space work.

  • Scroll to the Multi-space work filter section. This filter controls which work items appear in your list, board, and calendar. If you already have a filter that includes multiple spaces, select it and start using your views.

  • To create or update a filter, select Edit filter query.

  • On the filter editing page, you can choose the basic filter and choose your preferred spaces in the project = field and save the filter. The 'save filter' button appears at the right end of the filters or below the project filter.

  • Return to the Configure multi-space work page and select your saved filter.

  • Return to your list view to see work items from all selected spaces.

  • Why is multi-space work (like boards) still linked to a Location of 1 space?
  • How should users know to find the multi-space work in THAT particular space when it contains a filter of multiple spaces?
  • How does multi-space work differ from a filter?

Multi Space work is for us a good first step, but what our organization would really benefit from is having this available for each queue.

Or even better (the best actually) would be if queue filters could span multiple spaces.

The general idea of this functionality is good but the use is limited to us especially because of:

- the used filter is used also for the "View" board. So if you want the "View" board focused on the recent project AND the the "List" on multi project view it doesn't work together. 

- the UI for the list might be good if you have only a few tickets to observe. If you have many projects, work items and tickets you got very long lists. Yes you can use the filter but they are limited to single criteria and need to be set every time you open the list view. Would be better to use the same queues you have already set up in the related projects (or create some new)

- a fixed filter for selecting the project would help to switch fast between the projects. Usually i want to see what is going in the different projects 

- we need to set up the list view with filter in every relevant project to assure that all user who should use this are able to. That´s much effort to maintain. Would be nice if the list view would be available not within a/all projects but separately (like in the "For you" area" or as separate menu entry)

@Subrata Dass overall, I like this new functionality.

It doesn't seem like it's currently possible for work items from Jira projects to be displayed on the multi-space board view. Any chance that's targeted for inclusion in an upcoming release?

I get the licensing model is different, but JSM is ~ 3x more expensive than Jira. Ideally, JSM users would be able to use a basic kanban board within a JSM space and work on all their work items without the JSM vs Jira functionality distinction.

  • How should users know to find the multi-space work in THAT particular space when it contains a filter of multiple spaces?
    • To begin with it has default filter for THAT space . You need to add more spaces in the filter to make it Multi Space 
  • How does multi-space work differ from a filter?
    • Its a separate View - not a part of queue which can be changed with a filter
