Are your Jira workflows helping your SAP project, or slowing it down?

One of the biggest strengths of Jira is its flexibility.

Teams can build workflows that reflect how they actually work, automate repetitive tasks, and adapt processes as projects evolve.

But in large SAP implementations, flexibility can sometimes become complexity.

As projects progress, new statuses are added, approval steps increase, custom issue types are introduced, and exceptions become part of the workflow. Before long, what started as a simple process becomes difficult for project teams to follow and even harder for administrators to maintain.

That raises an interesting question:

How do you know when a workflow has become too complex?

Some common signs include:

  • Team members bypassing parts of the workflow because they take too long.
  • Different projects using different processes for similar activities.
  • Reporting becoming inconsistent across teams.
  • Administrators spending more time maintaining workflows than improving them.
  • New users requiring extensive guidance just to understand the process.

A well-designed workflow should support delivery, not become another challenge to manage.

Finding the right balance between governance, flexibility, and usability is especially important for enterprise SAP programs, where multiple teams often collaborate throughout the project lifecycle.
