Hi everyone,
I’m currently working with a Confluence space that has grown significantly over time, and I’m finding it increasingly difficult to keep the content well organized and easy for users to navigate.
I’d like to understand the best practices for structuring a large Confluence space, particularly when it contains different types of documentation, such as project information, processes, technical documentation, and internal guides.
What approaches or Confluence features do you recommend for:
Organizing pages and page hierarchies effectively?
Making important or frequently used content easier to find?
Avoiding duplicate or outdated pages?
Improving the overall navigation and user experience?
Managing the structure as the amount of content continues to grow?
I’d be interested to hear how other teams are managing this and whether there are any recommended Confluence best practices or features that have worked particularly well.
Thanks in advance!
I don't think theres a single best strategy that I could share because how you manage your docs depends on combination of factors that are unique to your situation.
For example, you listed four doc types: project information, processes, technical documentation, and internal guides.
Each might require different approach to life cycle management - they have a different update cadence, they're used by different audience, they may require mandatory reviews, perhaps audience-specific permission setup....
I've penned this 6-part Documentation Guide last year based on my experience in documentation writing and content management. The link will take you to our (K15t's) Learning Hub.
I hope you'll find it useful.
