Automations in Confluence is very powerful and useful. The only reason I don't use it currently is the redicously low numbers of automations you can run per month on standard (100/month).

Even with a userbase of only 150 people it doesn't make sense to use automation since the functionality only will work a couple of days each month before hitting the limit.

1. Managing Content at Scale

  • Auto-archiving old pages: Schedule rules to archive pages that haven’t been viewed or updated within a specific timeframe.

  • Auto-labeling for categorization: Automatically add labels based on content characteristics to boost discoverability and consistency. 

  • Template-based page creation: Automatically generate pages from predefined templates when new spaces are created or specific triggers fire. I like the Automated Meeting Notes.

2. Keeping Teams Informed and Aligned

  • Automated notifications: Dispatch emails or Slack Teams messages when key events occur—such as when a meeting notes page is published or tasks become overdue.

  • Automatically "nudge" team members about unfinished tasks on specified schedules. 

3. Standardizing Team Processes

  • Consistent page structure: Auto-create pages with defined structures and checklists to ensure alignment across teams.

  • Automated workflows: Bundle actions, like updating permissions, emailing teams, and changing page states, into single-click automation buttons for streamlined approvals.
