Confluence Labels: What they are and how to use them

Have you ever wanted to make it easier for users to find your Confluence content?

Say hello to Confluence labels, an easy way to organise Confluence pages.

Let's learn how to add, remove, and view labels.

What are Confluence labels?

Confluence labels are essentially tags that you can add to your pages. Users can then search by these labels to find related content.

How to add labels to a Confluence page

You can add labels when viewing or editing a page. We cover both methods below.

➡️ When you're viewing a page

1. Scroll to the bottom of a Confluence page and select Add label.

2. Type in the keyword for your label. Click the keyword when it appears below - it’ll look like a label with a shaded rectangle around it.

➡️ When you’re editing a page

1. Click the three dots (More actions) in the top-right of your Confluence page.

2. Select Add labels.

3. Type in the keyword you want to use for your label. Then, click the label as it appears below. This will add it to the page.

4. Click Publish/Update in the top-right of your page to update your changes.

How to remove a Confluence label

If your label is no longer relevant or doesn’t apply to your page anymore, it's a good idea to remove it.

Head to a Confluence page and scroll down to view its labels. Click the x on your chosen label to remove it from the page.

How to view all Confluence labels

You might want to view a list of all the available labels being used.

To do this, type "https://.atlassian.net/wiki/labels/listlabels-alphaview.action" into the search bar, adding your Confluence site name.

You should be able to see all your labels in alphabetical order.

Unfortunately, you can't see which pages have a certain label without clicking on a specific name.

How to manage Confluence labels in bulk

If you want to add or remove labels from more than one Confluence page, you'll need the help of a third-party app. Space Manager, included in Mosaic for Confluence’s Advanced Edition, lets you create, organise, and edit your pages in bulk from one handy control centre.

  1. Install Mosaic for Confluence (make sure to select the Advanced Edition)
  2. Go to Apps > Space Manager - Mosaic and load in your space(s).
  3. Click to select your chosen pages. Then, select the Labels button at the top.
  4. Choose Add label.
  5. Type your label name, select the check mark, and click Apply twice to confirm.



⚡️ Want to edit or delete labels from multiple pages? Do steps 1-3 and click the pencil or trash can icon instead. You can even click “Remove all labels” to delete every label from your selected pages.

Hey @Matthew_Christiansen_Adaptavist  Thanks for this helpful article. If it's the latest information, it's answered my question! Would love to know, however, if Atlassian is not trying to making label-editing a standard functionality in Confluence..? It seems odd that we would have to go to a third party for something so basic...
