Integrating Whiteboards with Jira Workflow

We’ve been experimenting with Confluence Whiteboards to support complex Jira workflows, especially in multi-country setups involving SAP, Aberon, and on-call routing.

Would love to hear how others are:

  • Mapping Jira issue types and transitions visually
  • Using Whiteboards for sprint planning or incident triage
  • Linking Whiteboard elements to Jira issues for traceability

Any tips, templates, or success stories?

As an Atlassian Partner, and in the Solutions Design & Engineering group, internally we are experimenting with Whiteboards to initiate our Intake/Discovery flow (for Opportunities/Ideas).

Working in the upstream, we link to and from JPD items, which keeps the Jira (JDP) issue itself light and to the point, for roadmap purposes.

The board includes:

  • sections for context we consume from Atlassian related to a Solution Area
  • space to Canvas and Brain-write around Value Proposition, Solution ideation / drafting, and rough GTM approach/roadmapping downstream

We find benefits in:

  • Plan and Track Work together and Unleashing Collective Knowledge (Atlassian System of Work Pillars), with a single view over it all
  • Saves time going hunting down references we need as we work (adding snapshots from things like recent webinars and publications). Links to resources as cards e.g. in an "Atlassian POV" section, easy to move across the knowledge "space" as needed.
  • Rovo summaries are more relevant and accurate having a collective source of context on the subject at hand
