Hey everyone! We’re thrilled to announce our Confluence Whiteboard Template Contest! 🚀

Want to leave your mark on Confluence? One lucky winner will have their whiteboard design officially added to the Confluence product for all users to access! This is your chance to showcase your creativity, help others, and gain recognition in the Confluence community.

Contest Details

  • Start Date: April 16, 2025

  • End Date: June 15, 2025

  • Prize: The winning design will be featured as an official Confluence Whiteboard template 🎉 and we will include your name/company name on the template so everyone knows you’re the mastermind behind it. We will also throw in some Atlassian swag so you have ultimate bragging rights 🙂!

Submission Guidelines

✅ The whiteboard design must be original and built for real-world collaboration use cases.

✅ Your template should be fully created within Confluence Whiteboards.

✅ Submissions should include a brief description of the template, its purpose, and how it helps teams collaborate effectively.

✅ Your submission must not duplicate any existing Confluence Whiteboard template.

✅ We are particularly interested in calendar/schedule-related templates and different types of diagrams, but feel free to submit whatever you’re most excited about!

 

How to Enter

You can submit your Confluence Whiteboard template in one of the following ways:

Option 1: Create a new post in the Confluence Whiteboards community group and upload screenshots of your template. Please also include a brief description of how your template is used.


Option 2: Submit your template by commenting under this contest announcement with screenshots and a description.

I open the contest with my template. As I'm Quality Director at Nordic Shelter, I have implemented Quality related issues in Jira and confluence and automated the work. 

One topic that is mostly missed during problem management is Root Cause Analyze (RCA). Uusually it takes 5+ years to master it thus it is needed to make really easy and simple process of making RCA-s. One part of that process is RCA whiteboard template that enables all emplaoees to make their own RCA without need of Quality personnel being part of it as thei all have had relevant trainings.

When ever in Jira Problem Register there is decision that RCA is needed, There is automation that makes relevant tasks and hopfully in the future also my Template in Official templates so that automatically can be made RCA whitboard for that exact problem. 🤩

 

So, Here is my template

Hello @Sumeeta Kumar great contest thank you !

I'm joining in with a simple dependency mapper whiteboard which I'd love to have as a feature straight into Jira (hopefully one day). 

It's best for dependency workshops where teams want to map the number of dependencies they have and it can work as a visual representation/report too. 

I've added a section so one can add a screenshot of the situation at the beginning of the workshop and have an element to compare if the workshop was successful in resolving some dependencies.

Hello Martin sure thing 

It can be used during PI Planning Events in a dependency mapping workshop. So to me it's mostly effective for a feature to feature dependency identification which will arise during discussions between scrum masters, product owners etc. 

Using the comment feature in whiteboards one can quickly add links to impacted features straight on the number displayed for a detailed view of which features have dependencies still.

Here’s my contribution to the Confluence Whiteboard Template Contest - the New Team Member Onboarding Journey template.

This template helps managers and teams visually plan and track a new employee’s onboarding experience - before joining the team and all the way through their first 6 months 🌟

The board includes:
👉 A clear timeline (Before joining → First week → First month → First 3 months → First 6 months)
👉 Swimlanes for key onboarding areas:

  • 📚 Knowledge & Skills
  • 🎯 Role & Responsibilities
  • 💬 Check-ins & Feedback
  • 📝 Compliance & Admin
  • 🌱 Career Growth & Development
  • 🤝 Social & Relationships

In addition, the board also includes two extra spaces:

  • Progress & Notes → for capturing key milestones, reflections, blockers, and ongoing updates.
  • Onboarding Improvement Ideas → a place where the new hire, manager, and team can add suggestions to continuously improve the onboarding experience for future hires.

Managers, team, HR, and the new hire can all contribute - making it an interactive space rather than just a checklist. The board is flexible and can be adapted by any team - whether you're onboarding engineers, designers, salespeople, or support staff - helping them ramp up faster and feel connected from day one ✨

It helps ensure nothing is missed, promotes self-reflection, and encourages early engagement and ownership. The visual layout makes onboarding progress easy to follow and more engaging than static documents or spreadsheets.

I think this fills a gap - existing templates focus mostly on meetings and project workflows, but not on the full new-hire experience.
