Hi CUG Leaders! This week’s Weekly Wonder explores how integrations can connect Atlassian tools with the other software your communities already use. When information and workflows move smoothly between systems, members spend less time copying updates, switching tabs, and searching for context, and more time collaborating, learning, and getting things done.
Integrations can be powerful, but adding another connection is not automatically the right answer. The best approach is to start with a real community need, evaluate options safely, and choose solutions that are secure, maintainable, and easy for your team to adopt. Here are five tips to help you explore integrations thoughtfully and get more value from your Atlassian tools.
Begin by identifying a specific friction point in your CUG’s work. Perhaps event registrations live in one system while planning happens in Jira, announcements are scattered across chat, or feedback collected in a form never reaches the people who can act on it. Map the current workflow, including who creates information, where it is stored, and what handoffs are manual or easy to miss.
Once you understand the desired outcome, you can look for an integration that supports it rather than adopting a tool because it has a long list of connectors. Define success in practical terms - for example, fewer duplicate updates, faster response times, better visibility, or a more complete record in Confluence.
Different Atlassian products can serve different parts of an integrated workflow. Confluence can provide shared context, documentation, and a durable knowledge base; Jira can track work and ownership; Jira Service Management can organize requests and support; and tools such as Loom can add useful visual explanations. Consider where information should live and which system should be the source of truth.
For example, a form or chat integration might create a Jira issue for an action item, while a linked Confluence page captures the meeting decision and background. Clear boundaries prevent duplicate records and help members understand where to go for status, instructions, or discussion.
Before enabling an integration, review what data it can access, where that data is stored, and which permissions it requires. Check the provider’s security and privacy documentation, authentication method, data-retention practices, audit capabilities, and marketplace or vendor reputation. Use a test project or sandbox with non-sensitive information whenever possible, and involve your organization’s security, privacy, or IT partners for higher-risk use cases.
Also compare the integration with simpler alternatives, such as an existing native feature, automation, export, or documented link. Estimate the ongoing cost of configuration, licensing, support, and maintenance. An integration is the best solution when its benefits clearly outweigh its risks and complexity - not merely because it is technically possible.
Decide what should trigger the integration, what information needs to move, and what should happen when something fails. Keep data flows focused: send the fields people need, avoid unnecessary personal or confidential information, and make ownership visible. Define naming conventions, labels, issue types, and notification rules so synchronized content remains understandable instead of creating noise.
Test common and edge-case scenarios before rolling out the workflow. Confirm that updates do not create loops or duplicate records, that permissions remain appropriate, and that someone is alerted when a connection breaks. A short runbook explaining the workflow and recovery steps can make the integration much easier to operate.
Start with a small pilot involving a few CUG leaders or contributors who represent the people expected to use the workflow. Provide a clear explanation of what is changing, what data will move, and where users can get help. Gather feedback about setup, usability, notifications, and whether the integration actually reduces work.
After launch, review a few meaningful measures such as adoption, time saved, duplicate work avoided, response time, and support requests. Schedule periodic reviews to confirm the integration is still needed, secure, and compatible with product or vendor changes. Keep a rollback or disablement plan so your team can pause the connection if its behavior or value changes.
Integrations can make Atlassian tools more useful by connecting planning, knowledge, communication, and action across the software your CUG already relies on. The strongest results come from starting with a clear workflow, assigning each system a purpose, evaluating security and alternatives, and designing a reliable flow of focused information.
