Weekly Wonder: Engaging Remote Teams - Tips for Virtual User Groups

Hi CUG Members, today we’re diving into tips and tricks for working with remote teams.

Remote work isn’t just a trend - it’s here to stay. But what separates high-performing remote teams from those that struggle?

Let’s review some proven strategies that help remote teams thrive, based on Atlassian’s experience and industry best practices.

 


1. Build Strong Routines

  • Start meetings with a check-in chat, hold regular standups, and keep meeting times predictable. Consistency helps everyone know what to expect and fosters stability.
  • Schedule virtual hangouts, team lunches, or “anything but work” sessions to build relationships outside of tasks and deadlines, and beyond the session in front of you.

2. Communicate Clearly, Often, and Asynchronously

  • In a remote setting, it’s better to repeat key messages than risk confusion. Use multiple channels to remind people after meetings end, via chat, video, and written updates, to ensure everyone’s in the loop.
  • Not everything needs to be included in the meeting. Use shared documents, recorded videos, and written updates to allow team members to contribute on their own schedule.

3. Foster Connection and Team Culture

  • If even one person is remote for a meeting, have everyone join individually with cameras on to ensure equal participation.
  • Celebrate wins, give regular feedback, and encourage open dialogue. Recognition goes a long way in a distributed environment.

4. Document Everything

  • Use Confluence to document processes, decisions, and meeting notes. This supports asynchronous work and makes onboarding smoother.
  • Tag and organize documentation so it’s easy to find, reducing repetitive questions and enabling self-service.
