Help for automation rules on specific field

Wakil BENAMOUR August 13, 2025

Hello,

I need your help with a specific issue:

I would like to create a ticket for a specific project, and when creating the ticket, I must fill in a field to request an account creation.

In this field (service catalog), I have a list with several values available, but I can only choose one.

I have another field (email) that is not mandatory but must be filled in if the user selects a specific value in the field above (service catalog).

Can I create a rule that will display a pop-up or error message prompting the user to fill in the email field when they click to create the ticket, if they select the entry in question in the catalog field but forget to fill in the email field?

The rule should not apply to other catalog entries.

Thank you in advance for your help and expertise.

Hi @Wakil BENAMOUR

What kind of project is this a Jira project or a JSM project.

In a Jira project this is not possible.

If its a JSM you will need to adjust the request type used for this and use a fomr to provide this information.

But if the field service catalog is a single select field, then this can't be done, unless a new field is created based in multi-select type.

Please provide context on your action with screenshots of the current configuration.

And as @Trudy Claspill mentions, rules can't have pre requisites and popup screens, rules act on an action taken, not upfront to an action that will be done.

Hi Marc

It's a Jira project...

I don't think it's possible. I created a rule that triggers the conditions above, but unfortunately I can't perform any action that will allow me to achieve what I need.

I also tried adding conditions to the workflow during the transition when the ticket is being created, but again, I can't force a popup to open if the specific entry isn't filled in correctly.

I think I'm trying to go beyond the limits of the tool, as usual lol.

Thank you very much for your feedback. I'm closing this ticket.

HI @Wakil BENAMOUR

No this can't be done.

You will require apps that can extend your workflow options.

Hello @Wakil BENAMOUR

No, you cannot create a rule that will display a pop-up to the user. Automation Rules run in the background. Once they are triggered there is no ability for a user to interact with them.

How is the rule going to be triggered?

When the user will create a ticket without prerequisite that I mentioned above

Oh, I see. I misunderstood what you were trying to do. I thought you wanted to use an Automation Rule to create the ticket.

What you want is to automate validation of what was entered.

Typically this would involve adding a Validator to the workflow transition executed when the issue is created.

However, the native Jira validators don't support adding conditions to say "apply this automation only if this other field has value X".

Do you have any third party apps added to your Jira instance that would extend the workflow capabilities, like Jira Workflow Toolbox, ScriptRunner, or Jira Miscellaneous Workflow Extensions?

Also, what is your project Type. Get that information by clicking on the three dots next to the project name in the navigation panel on the left.
