Why do SAP projects still rely on spreadsheets for visibility?

I've been speaking with teams involved in SAP implementations recently, and one challenge keeps coming up.

Despite having powerful tools for project management, many SAP programs still depend on spreadsheets for status updates, reporting, and stakeholder communication.

As projects grow, teams are often juggling:

  1. Business requirements
  2. Fit/Gap analysis
  3. WRICEF objects
  4. Testing cycles
  5. Defects and issue resolution
  6. Governance and project reporting

The problem is that this information is usually spread across multiple tools, making it harder to maintain a clear view of what's happening.

The visibility challenge

In my experience, the biggest issue is not execution. It's visibility.

When requirements live in one system, testing happens somewhere else, and reporting is maintained in spreadsheets, teams spend a surprising amount of time chasing information instead of making decisions.

That can result in:

  • ✅ Duplicate effort
  • ✅ Delayed reporting
  • ✅ Limited real-time visibility
  • ✅ Traceability gaps
  • ✅ Increased project risk
