Your team is moving fast, but your files are scattered across hundreds of work items and several cloud storage providers.
You know the file exists. You are fairly sure someone updated it this week. What you cannot do is say where it is without opening three work items to check. That is the daily tax of document management in Jira: minutes lost finding the starting line, and the version confusion that follows when two people give up and make their own copy.
The new Workspace Overview dashboard changes this. It sits on top of the file management you already have, showing you what is happening with your files across SharePoint, OneDrive, Google Drive, Box, Dropbox, and Egnyte, without leaving Jira.
The Workspace Overview dashboard brings four key views into a single screen to help you stay organized and informed:
Automation Run: A high-level metric showing the total number of folders and files processed by your automation rules in the last 7 days.
Recent Activity: A snapshot of collaboration showing the total number of documents accessed across the organization in the last 7 days.
Favorite Folders and Files: A personalized list of your most important assets, including file names, last modified dates, and the specific work items they are linked to.
My Updated Files: A dedicated view of the documents you have personally modified, allowing you to pick up exactly where you left off.
If you are managing a release that spans three different Jira spaces, you can use the dashboard to see everything in one place instead of navigating to each space individually to find linked files or folders.
Open the Apps menu in Jira and select ikuTeam Files.
Check the Recent Activity metric to see how many documents were accessed by the team recently.
Locate the files that you have edited recently in the My Updated Files section.
Use the Actions column to preview the file or jump directly to the Work item where the cloud folder is attached.
Use the star
option to tag your most go-to files and folders under Favorites section of the dashboard.
Unified Visibility: You no longer need to remember which ticket, or even which space, a cloud folder was attached to; the dashboard surfaces recent and Favorite folders and files in seconds.
Automation Health: The Automation Run metric gives admins immediate feedback on how many manual tasks, like folder provisioning, are being handled by the app.
Contextual Actions: Every file listed includes a link to its Work item, ensuring you always have the Jira context behind the document.
Cross-Platform Management: Manage files from multiple storage providers in one view without switching browser tabs.
The Workspace Overview is now available for all users of ikuTeam Files: Document Management Automation | Atlassian Marketplace .
